Job Description CARING PEOPLE ALLIANCE JOB DESCRIPTION Quality Improvement Administrative Assistant CUA Cares Center Employment Status: Full-time FLSA Status: Non-Exempt Reports to: Assistant Quality Improvement Director Grade: Location: CUA Cares Center Schedule: 8:00a-5:oop, Monday-Friday (in office) Revision Date: 5/9/24 Statement of General Purpose The Quality Improvement Administrative Assistant is responsible for providing administrative support to the CUA Program management team while maintaining strict confidentiality protocols. The Quality Improvement Administrative Assistant is a positive first point of contact and represents the professional nature of the organization in all communications. Examples of Essential Functions and Responsibilities • Provides supportive services to CUA teams in a confidential and professional manner at all times, avoiding personal communications, including gossip that may negatively impact the Agency., • Represents CPA in a professional manner, consciously considering the health and wellbeing of all internal and external customers., • Types correspondence, reports, and memos as needed., • Facilitates all filing, faxing, photocopying, and printing documents as requested., • Provides assistance as needed for the QI Intake Coordinator and serves as the back up for this position, • Fulfills documentation requests for Provider agencies on a weekly basis and upon request., • Assists with company vehicles and coordinating client travel, • Maintains and updates CUA database that holds clients and staff information., • Ensures that intake packets are maintained and completed thoroughly., • Ensures that the various tasks due upon receipt of new referrals are completed in a timely manner., • Ensures that the OHS standards are tracked for each client's file., • Manages and updates the resource manual., • Provides confidential administrative support to CUA case managers, supervisor, directors, QI team, and administrative support in a professional manner., • Assists with the Monthly Compliance Report, • Maintains the client census and permanency outcomes within the CPA database, • Reviews client’s files to ensure compliance with Philadelphia’s Improving Outcomes for Children (IOC) Guidelines and PA State regulations., • Serves as a receptionist, accepting phone calls from outside agencies, and direct callers to appropriate individuals, exhibiting confidentiality and professionalism., • Assists in updating forms., • Participates in staff and program meetings, and in weekly supervision., • Writes and distributes meeting minutes., • Other duties as assigned. Minimum Requirements • High School Diploma or equivalent and, • Two (2) years of experience in an administrative or clerical role. ADA Component • This role requires regular hearing, talking, walking, and sitting; occasional standing, driving, and lifting to 25 pounds. Requires regular travel.
