The Senior Accountant is a member of the agency finance team and is responsible for contributing to the successful administrative and financial operation of all agencies of the Regional Firm. This exempt position is under the direction of and reports to the Chief Financial Officer (CFO) and supports the CFO and finance team in daily administration and financial management activities. This position is a full-time role (40 hours per week, Monday-Friday). Primary responsibilities include, but are not limited to the following: 1. SUPPORT CFO • Assist CFO and work in conjunction with other team members to ensure critical agency, accounting and financial functions are covered and completed in a timely manner. This includes having primary responsibility for certain tasks, and being cross-trained in a variety of other tasks to serve as 2nd and 3rd backups to the CFO and for all Finance Team responsibilities. 2. AGENCY GENERAL ADMINISTRATION • Obtaining, managing and maintaining GA and business licenses and registrations as needed., • Back up critical agency finance team functions., • Assist in creating, managing and maintaining producer units in the following modules: o In GOL Unit Admin, ensuring managers and unit owners have access to unit members’ data o In GEMS and/or other applicable online systems for EAP units o In SFE calculation worksheets o In OTTO Tiered Relationships • Assist in applications for and maintenance of the firms’ liability insurance, request and distribute Certificates of Insurance as needed., • Work in conjunction with CFO to ensure all responsibilities are completed in a timely manner and serve as backup to all critical functions of the Finance Team (see below for examples)., • Complete miscellaneous projects as needed, • Complete and submit annual reporting to parent company regarding employee counts, • Complete annual Financial Representative profitability report, • Maintain firm-wide employee compensation tracker, • Review annual 401k safe harbor calculation and allocation, • Prepare and communicate annual EAP Bonus calculations, • Ensure personal compliance with all company rules and regulations., • Assist with, manage and/or complete special projects and tasks as needed., • Maintain confidential or sensitive financial files in a secure location under lock-and-key Critical functions of the Finance Team include the following responsibilities. The Senior Accountant will be trained in and responsible for backing up various tasks as needed to ensure continuity of service, including but not limited to: A) PAYROLL FOR FIRM EMPLOYEES • Semi-monthly payroll for 90+ employees using Paychex PEO payroll systems., • Assist with management and review of employee time cards and time off tracking., • Assist with employee onboarding and offboarding, • Assist with employment verifications, unemployment claims, garnishments, levies, • Payroll reporting preparation/management, • Assist in managing company responsibilites regarding 401k plan for employees to ensure compliance with requirements and regulations. Work in conjunction with internal team, Paychex and TPA B) AGENCY FINANCIAL ADMINISTRATION, ACCOUNTING AND SUPPORT • Assist with and/or backup agency accounting functions o Accounts payable o Accounts receivable o Commissions and other producer earnings o 1099 processing and submission o Banking management (payables, positive pay submissions and review) o Check stock maintenance o Co-op reimbursement • Adhere to GAAP (Generally Accepted Accounting Principles) standards, • Comply with firm and parent company controls, • Assist with policy recoding from broker to FR codes upon FR appointments., • Assist with preparation of producers’ Expense Allowance Program (EAP) agreements as needed and manage online EAP calculation system to ensure payments calculations are in alignment with signed agreements and timely payment., • Assist with preparation of producers’ management agreements as needed and manage Supervisory Formula Earnings (SFE) calculation worksheets to ensure alignment with signed agreements and timely payment., • Assist with preparation of AMP applications as needed., • Prepare monthly SFE calculations in advance of payroll cutoff dates and, upon manager approval, distribute reports to producers and managers via email., • Assist producers with understanding of FR Plan and ACS as needed., • Assist with FR payroll, including review and submission of requests for Incentive Comp, salary changes, suspensions, extensions, and deficit repayments and ensuring GA approval as needed. Work in conjunction with Finance Team, Guardian, GAs, and FRs to ensure accurate and timely payroll processing., • Assist with FR and Broker enrollment for Direct Deposit, • Securely maintain appropriate records and files in accordance with Company’s retention policy., • Assist with obtaining and prepare various reports as needed., • Assist producers with inquiries regarding compensation issues, understanding ACS and the FR Plan, etc., • Assist with commission assignments, • Assist with, manage and/or complete special projects and tasks as needed., • Assist in maintaining timely and accurate financial records., • Comply with escheatment regulations, • Assist with month-end reporting preparation in accordance with firm and parent company requirements Education/Experience • Accounting or bookkeeping in a small business environment required, • College or business school degree preferred, • Insurance/financial services industry experience a plus, • Experience with payroll processing (Paychex preferred).
