The NYFS Office and Billing Manager is responsible for ensuring the agency functions at full capacity, meaning clients have a positive experience reaching and interacting with the agency, and staff have the resources needed to operate smoothly and efficiently. The manager will oversee administration functions for the mental health and community services programs, ensuring excellent customer service. The manager supervises the client service coordinator team, and has oversight for training, leading, and appropriately staffing the front offices at the Shoreview and White Bear Lake offices. Administrative oversight also includes referrals, waitlist, scheduling, billing, and credentialing processes and procedures. Responsibilities: · Provide leadership to client service coordinator team: o Train, monitor workflow, and assign specific duties to the team. o Support, coach, and provide feedback on performance evaluation to ensure success. o Create a team atmosphere so employees enjoy coming to work. o Organize and oversee staffing schedules so excellent coverage is maintained at Shoreview and White Bear Lake offices. · Oversee insurance billing and credentialing processes, including working with clients on sliding fee scale applications, payment plans, and delinquent accounts. Collaborate closely with billing vendor to ensure a timely process for insurance claims. · Assist in operation of NYFS Electronic Records System, including ensuring system is running smoothly, staff are trained, and it functions effectively for NYFS needs. · Manage front office, waiting area, and shared spaces at both clinic sites to ensure adequate supply inventory and regular ordering. · Manage building maintenance requests collaborating with our building maintenance vendors and building management team at SV and WBL offices. · Assist with onboarding of new hires by ensuring offices are adequately prepared, order/set up technology, order badge, office keys. Additional Duties/Responsibilities: · Responsible for tracking expenses, ensuring market competitive costs for supplies. · Collaborates well and communicates clearly across the organization’s staff and departments. · Maintains awareness of industry standards and best practices ensuring alignment with internal processes at NYFS. · Consults with the Senior Human Resources Generalist with performance evaluations that are timely and constructive. Identifies opportunities for cost savings, better efficiency, or other improvements. · Recommends and implements policy or process changes as appropriate. · Collaborates with leadership to create functional, organized, and productive work and other business spaces. · Supports the various office needs of departments. · Performs other related duties as assigned. Required Qualifications: · Excellent communication and interpersonal skills. · Ability to lead a team. · Superior ability to identify and solve problems and to conduct cost-benefit analyses. · Proficient in Procentive and Microsoft Office. · Knowledge of administrative systems and procedures, including insurance billing. · Working knowledge of basic business and management principles as applied to resource allocation, leadership technique, staff and resource coordination, strategic planning, and human resource modeling. Strong candidates will have a solid understanding of their own culture and practice sensitivity and respect to the cultural backgrounds of their clients as well as other staff, actively integrating responsiveness to client’s individual, family, and community needs into their care. Salary Range: $53,000 to $62,000 per year based on education and experience. Biweekly supervision offered for all staff regardless of licensure to support staff wellness and quality client care. · Many training opportunities including cultural responsiveness trainings quarterly.
