Job DescriptionJob Title: Administrative Associate Job Description This Administrative Associate role supports the daily operations of a busy New York City showroom by managing administrative workflows, assisting customers, and maintaining a clean, organized, and visually appealing retail environment. The position combines front desk responsibilities, customer service, and general office support to ensure smooth day-to-day showroom operations. Responsibilities • Answer and route incoming calls, emails, and appointment requests in a professional and timely manner., • Greet visitors and clients, ensuring a welcoming experience, and coordinate with sales staff to prepare and schedule client meetings., • Manage and replenish office, kitchen, and showroom supplies to ensure all areas remain fully stocked and functional., • Coordinate deliveries, courier services, and outgoing shipments, ensuring accurate documentation and timely dispatch., • Receive, log, and distribute incoming packages and materials to the appropriate team members or showroom areas., • Maintain organized records, files, and documentation, and complete administrative projects as assigned., • Assist in planning and executing showroom events, including vendor meetings, presentations, and catering logistics., • Ensure showroom displays remain clean, organized, and visually appealing to support a positive client experience., • Monitor the overall condition of the showroom and proactively maintain organization, cleanliness, and order., • Support general front desk and receptionist duties, including visitor sign-in, message-taking, and directing inquiries to the appropriate contacts., • Collaborate with team members to support day-to-day showroom operations and contribute to a positive, service-oriented environment.Essential Skills, • 1–3 years of relevant experience in an administrative assistant, receptionist, showroom assistant, or similar office support role., • Proven administrative support experience, including managing calls, emails, and appointment scheduling., • Strong customer service skills with the ability to interact professionally with clients and visitors., • Experience performing front desk and receptionist duties in a professional environment., • Proficiency with Microsoft Office Suite (such as Outlook, Word, Excel, and PowerPoint)., • Strong communication and people skills, with a professional demeanor and presentation., • Excellent attention to detail and organizational skills., • Ability to work independently in a fast-paced environment and manage multiple tasks simultaneously., • Comfort with basic inventory management, including tracking and replenishing supplies., • Physical ability to move light supplies and materials as needed to support showroom upkeep.Additional Skills & Qualifications, • Experience in a showroom environment or similar customer-facing setting., • Background or experience in the construction, flooring, contracting, or home improvement industry is preferred., • Familiarity with event coordination, including vendor communication and basic catering logistics., • Experience coordinating deliveries, courier services, and shipments., • Interest in building a long-term administrative or customer-facing career path., • Ability to collaborate effectively within a close-knit, team-oriented environment.Work Environment This role is based in a busy showroom environment in New York City, operating Monday through Friday from 8:00 a.m. to 5:00 p.m. You will work closely with a collaborative, close-knit team in a well-established, family-owned business setting. The position involves frequent interaction with clients, visitors, vendors, and internal staff, as well as regular use of Microsoft Office Suite and standard office equipment. The showroom environment requires maintaining clean, organized, and visually appealing displays, and may involve moving light supplies or materials as part of daily upkeep. The role offers hands-on exposure to showroom operations, client interaction, and event support, providing a strong foundation and resume-building experience for administrative and customer-facing career paths. Job Type & Location This is a Contract position based out of New York, NY. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr.
