Job DescriptionDescription: The Administrative Compliance Specialist is responsible for ensuring accurate, timely, and compliant documentation in accordance with the APD iBudget Handbook, Medicaid waiver requirements, and all applicable payer standards. This position supports audit readiness by maintaining documentation integrity across systems, monitoring submission timelines, and ensuring all required records are complete prior to billing. The Administrative Compliance Specialist works closely with the Life Skills Program Director, Program Managers, Assistant Managers, Waiver Support Coordinators (WSCs), and the billing team. ESSENTIAL FUNCTIONS • I-Connect Documentation & Compliance, • Enter Individuals’ attendance data weekly into the I-Connect system in accordance with APD requirements., • Verify accuracy of dates, times, and service units prior to submission., • Ensure attendance is applied to the correct Service Authorization (SA) in I-Connect., • Reconcile attendance records between the Therap system and I-Connect to ensure consistency across systems., • Correct inaccurate or incomplete entries in I-Connect following attendance adjustments or documentation updates., • Enter Implementation Plans into I-Connect using the FORMS section in compliance with APD standards., • Upload fully executed Implementation Plans to the NOTES section of I-Connect., • Review Implementation Plans to ensure all required signatures and dates are present prior to upload., • Enter quarterly and annual reports into I-Connect within required APD timeframes., • Audit quarterly and annual reports to ensure:, • Accurate reporting periods, • Required submission dates are met, • Progress toward Individual goals is clearly documented, • Administrative Compliance, • Maintain tracking systems for Individuals’ Support Plan (ISP) effective dates and expiration dates., • Ensure a current, fully signed Support Plan is on file for each Individual served., • Track and update quarterly and annual report due dates to ensure timely submission., • Maintain and update Implementation Plan tracking logs, including changes to effective dates., • Create, maintain, and update Individual records in the Therap system, ensuring accurate demographic and contact information., • Update Implementation Plan goals in the Therap system to align with approved Support Plans., • Communicate with Waiver Support Coordinators (WSCs) to request updated Support Plans as needed., • Coordinate with WSCs to ensure provider documentation access is enabled within I-Connect., • Act as a liaison between WSCs and the billing department to resolve Service Authorization (SA) discrepancies., • Document all SA-related communications to support audit trails and interdepartmental clarity., • Documentation Assistance, • Run weekly compliance reports to monitor Instructor completion of required daily documentation., • Provide documentation compliance reports to Program Managers identifying missing or incomplete records., • Ensure all required documentation is complete, accurate, and compliant prior to billing submission., • Identify documentation deficiencies and work with Program Managers to resolve issues in a timely manner., • Maintain annual paperwork requirements for all Individuals served in accordance with APD and Medicaid standards., • Distribute annual paperwork packets and track receipt of required forms., • Follow up with Program Managers to obtain missing or incomplete documentation., • Obtain guardians documents, maintaining and auditing them annually., • Distribute satisfaction surveys to Individuals annually or semi-annually, as required., • Compile and summarize satisfaction survey results., • Present satisfaction survey outcomes to the Life Skills Program Director., • Other Duties, • Primary activities are conducted within a well-lit, climate-controlled facility., • Will require weekly on-site work time, in the Lee and Charlotte County Life Skills Programs., • Occasional community outings may require outdoor travel and potential exposure to unpleasant weather., • Ability to bend, stand, kneel, crouch, walk, or sit for extended periods of time and possess the normal range of body motion., • Ability to feel objects, tools, controls, reach with hands and arms., • Must occasionally lift or move up to 25 pounds listed above with or without reasonable accommodation. Initials QUALIFICATIONS • High School diploma or equivalent., • Minimum one (1) year experience in an office setting, preferably in a medical office, prior experience working with Individuals with Disabilities a plus., • Minimum one (1) year customer service experience., • Valid state driver’s license., • Must pass Level II Background and drug screening., • Demonstrates strong interpersonal and communication skills., • Possesses advanced computer proficiency, including the ability to navigate multiple operational systems accurately and efficiently., • Demonstrates strong attention to detail and effective organizational skills., • Able to analyze and manage large volumes of data while meeting tight deadlines., • Demonstrates the ability and genuine interest in working with Individuals with developmental disabilities and physical limitations., • Exhibits reliability, dependability, and punctuality in attendance and work performance., • Maintains required training and certification compliance in accordance with APD and organizational standards.
