Job Description RESPONSIBLE TO: Executive Director QUALIFICATIONS: EDUCATION: High School diploma. Business degree or human services preferred. Helpline experience, past office/administrative experience, conference planning is helpful. EXPERIENCE: Administrative, leadership skills. Computer and Microsoft Suite fluency required. Knowledge of gambling disorders is helpful. Self-directed, organized, responsible. Excellent verbal and written communication skills. Experience in education or fund-raising experience is helpful. POSITION SUMMARY: Coordinates the annual statewide conference. Facilitates all aspects of the Statewide training program, outreach programs, including student awareness programs, prison programs, community, and clergy outreach. Administrative assistant duties and aids the Executive Director, including board activities, and publications. SPECIFIC DUTIES: CONFERENCE * Oversee planning and implementation of the Statewide annual conference. * Develop and maintain relationships with presenters for each conference, assist in transportation arrangements. * Create and maintain database and spreadsheet files. * Coordinate and arrange meetings, prepare agendas, reserves and prepare facilities. * Assist in selecting meeting site to determine site suitability. * Coordinate registration and payment procedures, promotional advertising and mailings, and corporate sponsorship activities. * Develop brochures, folder inserts, and signage for conference. * Manage on-site staffing and registration. * Organize required catering services, room, and communication equipment setup. * Resolve on-site emergencies. * Organize and promote pre- and post-event tours. HELPLINE Maintain, monitor, and respond to Helpline inquiries and requests. * Prepare daily mailings of informational packets. * Answer Helpline and office calls. OUTREACH * Provide community outreach to a variety of universal and targeted populations through awareness and prevention programming as determined under the direction of the Executive Director * Meet with clergy, senior groups, teen and young adult community and school groups to assess needs for prevention activities and public awareness events. * Develop effective prison and juvenile detention problem gambling prevention programs. * Develop reporting systems for prevention and awareness activities. SCHOOL OUTREACH * Develop and maintain relationships with school personnel for the purpose of implementation of prevention curriculum in high schools and college settings. * Conduct needs assessment regarding problem gambling outreach and prevention. * Act as expert for school administration/ college campuses in area of problem gambling. * Research and analyze curriculum for best fit in Wisconsin school settings. * Facilitate prevention programs for targeted audiences, under direction of Executive Director. * Oversee school educational/informational mailings. PRISON AND JUVENILE DETENTION OUTREACH * Develop and maintain relationships within the Department of Corrections. * Conduct a needs assessment and assess the feasibility of problem gambling prevention programming within Department of Corrections setting. * Research and/or develop appropriate materials for prevention programs in D.O.C. and juvenile detention settings. * Coordinate Gamblers Anonymous programming with prison and juvenile detention programs. * Provide problem gambling resources for correctional libraries. ADMINISTRATIVE DUTIES Office management. Responsible for: * Collection of current information and resource materials on compulsive gambling * Maintain/order supply of booklet, brochures and printed materials for mailing. * Maintain WCPG mailing list. Statewide Training Program * Prepare all training binders, materials, presentation items and certificates. * Assist Operations Manager with implementation of training program as requested. * Assist Operations Manager with Treatment Provider applications and licenses/certifications as requested. BOARD MEETINGS * Send monthly meeting announcements, agendas, and minutes. * Take/type minutes at monthly board meetings. * Assemble information needed for board meetings as needed. * Provide monthly reports of all outreach and prevention activities, including plans, contacts, curricula, and progress in work plans. * Assist board committees as designated. * Maintain official Board Meeting minutes book. * Set up room for monthly board meeting or prepare for virtual meeting. OTHER REQUIREMENTS Occasional day and overnight travel required. Access to a vehicle with car insurance Be able to lift to 30 pounds.
