Role: Generalist Operations & Executive Virtual Assistant Aperio Academy (France-based, Global Initiative) About Aperio Academy Aperio Academy is an interdisciplinary education initiative currently being developed in France., with roots in Australia and Turkiye. Our work sits at the intersection of education, technology, and social impact. We design and deliver learning experiences for children, youth, and families, while also engaging with institutions, partners, and communities. At its core, Aperio is built on a few key principles: • Interdisciplinary learning: blending language, creativity, technology, and real-world skills, • Human-centered and ethical approach: especially in relation to AI and youth development • Global perspective with local integration: working across countries while embedding into local ecosystems • Social impact orientation: combining entrepreneurial activity with meaningful community contribution As a founder-led initiative in an active setup and growth phase, we are now looking to build a reliable operational backbone through virtual support. Role Overview We are looking for a highly adaptable, proactive, and detail-oriented Generalist Virtual Assistant who will act as a central operational support and coordination bridge across multiple functions. This is not a narrow role, we are looking for someone who: • Thinks like an Executive Assistant, • Works like an Operations Coordinator cracks during a critical growth stage. Key Role Objective This role is ideal for someone who is curious about the future of education, enjoys working across disciplines, and wants to contribute to a purpose-driven international initiative to serve as the “central connector” of operations, supporting communication, organization, execution, and follow-through across global teams, partners, and internal systems. Core Responsibilities 1. Communication & Coordination Manage inboxes (email + LinkedIn messages) Respond to inquiries and route messages appropriately Follow up with stakeholders, partners, and leads Maintain communication flow across: • Advisory board (global), • Partners & institutions, • Internal contributors, • Track conversations and ensure timely responses 2. Calendar & Scheduling • Coordinate meetings across multiple time zones, • Schedule calls with partners, stakeholders, and collaborators, • Assist in organizing availability and meeting logistics 3. Task & Operations Management • Manage and maintain Trello boards, • Track ongoing tasks, priorities, and deadlines, • Ensure workflows are structured and updated, • Identify bottlenecks and follow up proactively 4. Website & Content Support (Non-Technical) • Review and refine website content (English; French is a plus), • Improve clarity, tone, and structure, • Support completion of unfinished website sections, • Assist with translations (if capable or via coordination) 5. Document & Admin Support Format and prepare documents (contracts, reports, presentations) Ensure documents are: • Organized, • Brand-aligned, • Ready for sharing/signature, • Organize Google Workspace (Drive, files, folders), • Clean and declutter outdated or sensitive data 6. Social Media Support (Execution-Level) Support primarily LinkedIn (priority platform) Assist in: • Managing messages and inquiries, • Creating content calendars, • Scheduling posts 7. Help align content for: • Youth audience, • Parents / professionals, • Coordinate with external agencies (if engaged) 8. Research & Ecosystem Mapping Conduct research on: • Institutions, • Partners, • Opportunities, • Industry trends (education, AI, youth development), • Extract insights from existing Trello research materials, • Prepare summaries for decision-making 9. Operations & Project Support • Assist in early-stage launch activities, • Support event coordination (logistics, tracking, communication), • Help with basic budgeting tracking, compliance preparation, operational documentation Ideal Candidate Profile • A genuine interest or curiosity in youth development, education, or social impact, • Openness to interdisciplinary work (across education, technology, creativity, etc.), • Interest in emerging topics such as ethical technology or evolving learning models, • Comfort working within an international, multicultural environment, • A mindset oriented toward growth, contribution, and long-term involvement Mindset • Startup mentality (flexible, proactive, solution-oriented), • Comfortable wearing multiple hats, • Takes initiative without waiting for instructions, • Strong sense of ownership and accountability Core Skills • Excellent English communication (written & verbal), • Strong organizational and coordination skills, • High attention to detail, • Strong research ability, • Comfortable with ambiguity and evolving priorities Technical Tools • Trello (required), • Google Workspace (Docs, Sheets, Drive), • Canva (basic visual editing), • LinkedIn (messaging & engagement), • Email management tools Nice to Have • Experience in startups or fast-paced environments, • Exposure to education, tech, or social impact sectors Work Setup • Hours: 10 hours/week (initial), scaling to 15–20+ hours after a few weeks, • Schedule: Flexible with partial CET overlap, • Start Date: ASAP, • Engagement: Long-term potential Important Notes This is a generalist role, not a specialist-only position The VA must be willing to: • Shift between tasks weekly, • Handle both simple and complex work The VA will act as a “bridge” across global teams and functions. Cultural awareness is important (Europe, MENA, Australia collaboration). Strong preference for someone who is: • Organized, • Calm under pressure, • Proactive in follow-ups • Rate: $7-9 USD per hr depending on the profile
