Job Description The Safer Foundation is a social service provider to individuals with arrest and conviction records. Through a full range of services, including case management, educational instruction and advocacy, we focus on preparing individuals for the world of work by helping them find and keep productive and meaningful employment General Summary: This is a position funded through the IL Department of Healthcare and Family Services, ending in December 2026. As a key member of Safer’s integrative behavioral health team, the EHR Administrator is responsible for configuring, optimizing, and supporting the current EHR system. Reporting to the AVP of Behavioral Health Services and working cross-functionally with the clinical and reentry operations and IT teams, the EHR Administrator ensures that the EHR platform supports operational workflows, state and federal regulatory compliance, and data integrity across the Counseling and Wellness Center. This role will also lead system infrastructure updates, develop end-user training materials, manage access controls, and support data collection and reports for internal and external stakeholders. The ideal candidate brings direct experience in administering behavioral health or a health electronic health record platform, demonstrating knowledge of clinical documentation, reporting, regulatory requirements, and interoperability within a community-based behavioral health environment. Essential Duties and Responsibilities: Stakeholder Interface • Act as the designated administrator and subject matter expert for the EHR, • Configure and manage user roles, access controls, and system security in compliance with HIPAA, 42 CFR Part 2, and internal policies., • Monitor system performance, troubleshoot technical issues, and coordinate resolutions with EHR support and third-party vendors., • Lead system upgrades, patch deployments, and module enhancements, ensuring that functionality and continuity of care are maintained during transitions., • Conduct system testing and validation to confirm the integrity of new features and, • Ensure that all EHR-related activities adhere to applicable federal, state, and local compliance standards, including HIPAA and 42 CFR Part 2., • Assist with integrations between EHR and third-party platforms, including billing systems, laboratory services, and Health Information Exchanges., • Participate in internal compliance reviews and contribute to the development of data governance, • Facilitate meetings with internal and external stakeholders related to EHR, • Responsible for maintaining and configuring custom reports and creating new ones, • Ability to analyze change requests and recommend the best course of action, • Participate in State meetings related to requirements for the EHR and State Reporting, to inform compliance efforts., • Ensure the completeness, accuracy, and integrity of data across all EHR modules and, • Design and create custom reports and dashboards for internal leadership, funders, and regulatory, • Manage EHR subscription and invoice payments in collaboration with the AVP of Behavioral Health, • Supervise and mentor the EHR support team, • Develop and implement training programs and resources to onboard new staff and improve user, • Provide ongoing technical assistance to clinical, administrative, and leadership, • Collaborate with cross-functional teams to streamline workflows, reduce documentation burdens, and enhance system usability., • Strong analytical and problem-solving abilities with a system-thinking, • Excellent communication skills, with the ability to translate technical concepts for non-technical, • Ability to manage multiple priorities and projects in a dynamic, fast-paced, • High attention to detail and commitment to confidentiality, data integrity, and information, • Data Collection, Validation, and Management, • Delivering Reports based on State and Federal Requirements, • Hands-on experience and self-sufficiency with Microsoft productivity tools, including Outlook (for email), Office (Word, PowerPoint, Excel), and online collaboration tools (video conferencing, Zoom/Teams, messaging). Education and Experience: • Bachelor’s degree in health information technology, Computer Science, Informatics, Psychology, or a related discipline or equivalent combination of education, lived experience, and professional training., • Minimum of two (2) years of experience as an administrator or advanced user of HER systems or a comparable behavioral health EHR system., • Minimum of Two (2) years of administrative experience, of which one (1) year must be at a management level, in health-care related data, analysis or technology functions, (e.g. State and Federal data collection and reporting, management reporting and analysis, outcomes evaluation and tracking, electronic health records and systems), • Strong knowledge of behavioral health workflows, clinical documentation requirements, and EHR system configuration required.
