Job Description Job Description TITLE: Medical Administrative Office Support REPORT TO: Practice Manager CLASSIFICATION: Non-Exempt STATUS: Full Time WAGE: $40,000 - $45,000 LOCATION: Littleton, CO POSITION SUMMARY: We are seeking a detail-oriented, organized, and compassionate Medical Administrative Support professional to join our healthcare team. In this vital role, you will serve as a point of contact for patients and providers, ensuring efficient communication, accurate documentation, and smooth administrative operations. The ideal candidate will be skilled in managing a high volume of communications—voicemails, emails, phone calls, faxes, and mail—while maintaining a strong commitment to patient confidentiality and high-quality service. You will work closely with clinical and administrative staff to support patient care through timely documentation, referral coordination, insurance follow-ups, and overall office support. Daily Communication Management: • Patient Communications: Document all interactions with patients, their family members or caregivers, and external providers in the EHR, including phone calls, emails, and in-person messages., • Referral Uploads: Accurately upload and process patient referrals in a timely manner., • Insurance & Authorizations: Assist with obtaining insurance verifications and authorizations, submitting referrals, and following up on claims as needed., • Team Collaboration: Work closely with clinical and administrative staff to support seamless patient care and operational efficiency., • Customer Service: Serve as a first point of contact for patients and visitors, providing compassionate and professional support., • Email: Monitor and respond to emails in a timely, professional manner; ensure all relevant correspondence is documented in the EHR., • Phone Coverage: Answer incoming calls promptly and courteously, providing exceptional customer service and routing inquiries appropriately., • Associate’s degree or higher, • Ability to multi-task, • Professionalism, • Organization, • Demonstrate strong executive functioning skills, • Ability to use technology (computer, printer, scanner), • Ability to use WebEx, AdvancedMD, Microsoft Office Software (Outlook, Word, Excel, OneDrive/SharePoint), Adobe, • Compassionate, • Adaptable/Flexible, • Collaborative and team-oriented, • Ability to stay calm in stressful situations, • Reliable, • Honest, • Ability to communicate appropriately and effectively, • Microsoft Office programs (Outlook, Word, Excel, OneDrive/SharePoint), • AdvancedMD (Nice to have), Other EHR systems, • Zoom, • Sit for multiple hours, • Open doors for patients, families and coworkers as needed, • Typing and using a computer, • When occasionally asked, take out trash or recycle, • Ability to lift at least 10 pounds, • Clean and organize personal space daily, • Put all items neatly away, including testing materials, where they belong daily, • Respectfully utilize company shared spaces and hallway, • Turn off items in your office daily (e.g. space heater, swamp cooler, fan, lights, humidifier, etc.), • Attend at least one Horizon sponsored booth event yearly, • Attend the yearly Horizon holiday event unless pre-approved by the owner of the practice, • Attend weekly staff meetings unless absence is pre-approved by your supervisor, • Communicate effectively and professionally (verbally, physically, and electronically), • Act and speak professionally to: Horizon staff members, patients, and patient’s family/friend/other professionals involved in the evaluation process (verbally, physically, and electronically), • Dress professionally (business casual), • Report to work on time, • Communicate immediately with supervisor in the event of an emergency, • Willingness to adapt and be flexible, • Willingness to occasionally perform additional duties as requested, • Complete mandatory HIPAA class, • Maintain HIPAA compliance
