As our Growth & Enrollment Coordinator, you are the first voice a potential member hears and the person who guides them from curiosity to commitment. You conduct discovery calls with empathy and a clear enrollment focus, coordinate events that educate and convert, manage digital outreach and marketing touchpoints, and keep the front office running smoothly — all in service of growing the practice and transforming lives. This role is for someone energized by hitting goals, comfortable in enrollment conversations, and equally capable of planning a community dinner event and pulling performance metrics for a team debrief. KEY RESPONSIBILITIES Discovery Calls & Enrollment — Your Primary Focus • Conduct discovery calls with enthusiasm, empathy, and a clear enrollment focus — this is the heartbeat of the role, • Own the discovery call calendar; proactively reduce no-shows with outreach and reminders, • Track and submit call stats weekly; review performance trends with the team, • Submit at least 2 recorded calls per month for coaching and actively apply feedback, • Maintain a 60%+ close rate as your baseline performance benchmark, • Document prospect health concerns to keep the practitioner informed and prepared Event Management • Coordinate and host community educational dinner talks and health events from start to finish, • Execute qualifying and reminder calls with accuracy and a positive tone, • Manage all event logistics: setup, breakdown, hospitality, and site coordination, • Schedule follow-up Wellness Evaluation appointments and set clear expectations for prospects, • Debrief with Dr. Koontz and team after every event to continuously improve close rates Webinar & Digital Outreach • Schedule, host, and moderate live and pre-recorded webinars, • Manage lead tracking and engagement through the Go High Level (GHL) dashboard, • Track attendance, engagement, and performance; report insights for optimization Wellness Evaluation (PME) Management • Maintain strong PME schedule utilization, • Ensure evaluations run on time with complete paperwork and pre-educated prospects, • Conduct week-out check-ins and 24/48-hour reminders to minimize cancellations Social Proof & Lead Attraction • Consistently collect new testimonials and 5-star Google Reviews each month, • Post 2-3 stories per week on relevant platforms; produce monthly case studies, • Manage referral systems to maintain a steady stream of monthly referrals Marketing & Brand Support • Collaborate on funnel strategy, SEO, website updates, and social media, • Ensure brand consistency across all marketing materials and communications, • Coordinate monthly member and public-facing newsletters Front Office & Administrative Operations • Manage all incoming communications: email, phone (Spruce), and patient messages (Charm), • Welcome walk-in members and assist with supplement questions and purchases, • Maintain office supplies, SOPs, and an organized, efficient front office environment, • Keep the practitioner’s schedule full and well-prepared SKILLS & QUALIFICATIONS Required • 3+ years in sales, enrollment, customer success, or a related field — with a track record of hitting goals, • Demonstrated comfort with performance metrics, accountability conversations, and being measured on outcomes, • Excellent verbal communication — you can hold a room and hold a one-on-one with equal skill, • Proficiency in Google Workspace, Calendly, and CRM or scheduling tools, • Strong time management; you juggle priorities without being managed, • Self-directed and proactive — you solve problems before they escalate Preferred • Prior experience conducting sales, enrollment, or discovery calls, • Background in wellness, integrative health, or naturopathic medicine, • Experience with Go High Level (GHL) or similar marketing automation platforms, • Familiarity with social media management and content creation, • Experience with Charm PHR or similar electronic health record systems YOU ARE THE RIGHT FIT IF YOU... • Are genuinely energized by enrollment conversations — not just comfortable with them, • Thrive on feedback and use it as fuel, not a critique, • Have a real growth mindset: you read, reflect, and actively seek improvement, • Can manage your own time in a fast-paced environment without being micromanaged, • Are comfortable having direct, honest conversations with prospects, teammates, and leadership, • Listen with compassion and empathy for people navigating real health challenges, • Thrive in a small, tight-knit team where accountability and transparency are the norm, • Take your own health seriously and are genuinely passionate about improving your craft HOW SUCCESS IS MEASURED We believe in clarity. Success in this role looks like: • Enrollment conversations that consistently convert — you close with empathy, not pressure, • A full, well-prepared schedule that runs smoothly week over week, • Events and webinars that educate prospects and drive follow-through, • A steady, growing stream of referrals and social proof that reflects the quality of our member experience, • Performance data that you track, understand, and actively use to improve, • Systems and SOPs that you own, maintain, and make better over time COMPENSATION & BENEFITS • Compensation: $24–$32/hr based on experience, • Monthly performance bonus tied to KPIs — when the practice wins, you win, • Schedule: Monday – Friday; Tuesday evenings; some weekend training required, • Travel: 1–2 times per year for business coaching and development, • Retirement plan, • Employee discount on supplements and services, • Paid time off & paid holidays, • Washington State sick leave, • Wellness program — you’ll personally experience our programs as part of onboarding A note on benefits: Resilience Natural Medicine is a small, independent practice — which means we do not offer employer-sponsored health insurance.
