About this position The universal prekindergarten (UPK) program assistant will assist the UPK liaison with coordinating and implementing the Options for Learning scope of work as part of the UPK program. This position will provide logistical, administrative, and communication support to ensure smooth project operations and effective engagement with collaborative partners, early learning providers, school districts, and families. The program assistant will maintain organized program records, support purchasing needs, assist with meetings and events, and support communications and outreach efforts in partnership with the Child Care Alliance of Los Angeles (CCALA). CCALA is a partnership of 10 community-based Resource and Referral (R&R) and Alternative Payment (AP) organizations working together to ensure the delivery of seamless, consistent, and quality early learning and care throughout Los Angeles County. The UPK project is a partnership between CCALA, partner R&R agencies, the Los Angeles County Office for the Advancement of Early Care and Education (OAECE), and the Los Angeles County Office of Education (LACOE). This project is focused on helping parents and providers learn about and understand Universal Preschool in Los Angeles County, developing plans to support the mixed-delivery child care system, and building on referral strategies to incorporate all UPK options available to families. The program assistant will support the UPK liaison’s communication with CCALA staff, other R&R agencies, school districts, parents, child care providers, and collaborative partners, as needed, to gather required information, coordinate meetings, and provide other necessary organization and support for UPK staff and participants. What you’ll be doing • Performing administrative support duties: managing program documentation through maintenance of electronic files, preparing correspondence, maintaining agendas, and taking accurate and detailed meeting notes;, • Supporting project coordination by tracking deliverables and monitoring deadlines;, • Assisting with the preparation of data and program information for monthly and quarterly reporting to funders and other partners, including following up with necessary parties to ensure timely and accurate submissions;, • Assisting with the purchasing of necessary office supplies, printing and translation services, software, equipment, etc., for team and programmatic needs and maintaining accurate documentation of purchases;, • Communicating with program participants and partners over the phone, via email, or other electronic communication (i.e., Constant Contact), as needed;, • Assisting with resource development and program communications, such as emails, program documents, PowerPoint presentations, and other outreach materials;, • Assisting with gathering input from stakeholders to help shape communications strategies and messaging;, • Assisting in designing visual content and formatting materials for clarity and engagement;, • Researching and assisting with new and existing community partnership collaborations, including identifying potential partners, sourcing key contact information, and reaching out to engage them;, • Assisting in scheduling meetings with external partners, taking notes, and tracking action items;, • Supporting ongoing community partnership collaborations and related activities by coordinating logistics, scheduling meetings, taking notes, and supporting with collaborative project tasks;, • Assisting with the planning and execution of in-person and virtual events, including preparing and distributing event materials, securing venues, coordinating supplies, managing room setups, tracking attendance, and/or facilitating Zoom meetings;, • Assisting with event or meeting promotion, including drafting outreach emails, creating flyers, coordinating social media announcements, and engaging with community partners to boost attendance;, • Attending relevant meetings, trainings, and events as needed;, • Actively participating in Options for Learning’s annual in-service training;, • Associate’s degree or equivalent experience in education, social work, human services, or related field;, • Bachelor’s degree in education, social work, human services, or related field (preferred), • Minimum of one year of relevant experience, including task management, providing programmatic assistance, and communicating with external clients;, • Understanding of the Los Angeles child care delivery system, stakeholders, community agencies, and child care provider population (preferred);, • Ability to manage multiple tasks and meet required deadlines with strong attention to detail;, • Strong interpersonal skills, including the ability to work effectively with diverse client populations;, • Excellent time management and organizational skills, with the ability to work independently;, • Effective written and verbal communication skills;, • Willingness to take initiative to identify and solve challenges or create greater programmatic efficiencies;, • Strong computer skills, including experience with Microsoft 365, Google Suite, Constant Contact, Zoom, WordPress, and/or Canva (preferred);, • Ability to work collaboratively with others at all levels of the organization and across teams, as well as with other agencies and community partners;, • Ability to be flexible and innovative and adapt to the changing needs of the program and organization;, • Bilingual in Spanish, Cantonese, Mandarin, or Vietnamese (preferred);, • A California driver’s license, the use of an automobile, and automobile liability insurance;, • Medical/dental/vision for part- and full-time employees (organization pays up to 95% of employee's premiums; prorated for part-time);, • Organization-paid and matching retirement plan;, • Professional growth opportunities, including free child development courses and college reimbursement;, • Generous and flexible PTO;, • Reports to the universal prekindergarten liaison;, • This is a grant-funded position for fiscal year 2025-26, with a possible extension to fiscal year 2026-27;, • Non-exempt, full-time, full-year work year;, • Eight- hour workday; four-day work week;, • Hybrid work schedule available with approval by supervisor;, • Organization-wide winter break;, • Limited evening or weekend hours may be required;, • $27.65 - $36.67 per hour (candidates should anticipate receiving an offer within the first quartile of the salary range).Requirements:
