Job DescriptionThe Ellis School, Pittsburgh’s only age 3–grade 12 independent school dedicated solely to the education of girls and young women, seeks an Assistant Director of Alumnae Affairs. Reporting to and supporting the Director of Advancement, the Assistant Director is responsible for keeping Ellis alumnae and alumnae families informed, engaged, and deeply connected to the School and its mission of educating girls to become bold, authentic, and intellectually vibrant changemakers. This position provides leadership for alumnae programming with a particular focus on: • Relationship-building and volunteer engagement, • Event and program design that reflects Ellis’s PK–12 all-girls ethos, • Alumnae communications and storytelling, • Fundraising in partnership with the Advancement team, including support of the Ellis Fund and other philanthropic prioritiesThe Assistant Director actively involves alumnae in the life of The Ellis School—on campus, in Pittsburgh, and across the country and globe—so they remain vital partners, advocates, and investors in the School’s future. Essential Duties and ResponsibilitiesAlumnae Engagement & Relationship Management, • Establish, cultivate, and steward strong relationships with Ellis alumnae locally, regionally, nationally, and internationally, with intentional outreach across generations, backgrounds, and identities., • Serve as a visible, welcoming presence for alumnae at The Ellis School, fostering a culture of warmth, inclusion, and lifelong belonging for girls-turned-women leaders., • Create meaningful avenues for alumnae involvement in the School, including mentoring programs, speaking opportunities, classroom visits, career panels, and networking events that showcase women’s leadership., • Collaborate closely with faculty, division heads, College Counseling, and student-life staff to connect current students with alumnae role models across industries and fields of study.Events & Programming, • Plan, organize, and implement a comprehensive calendar of alumnae events and programs that reflect Ellis’s mission and PK–12 all-girls environment, including:, • Reunion and milestone celebrations, • Affinity and regional gatherings (including Pittsburgh-based and out-of-town events), • On-campus programs tied to traditions, such as Commencement, “Back to Ellis” days, Heritage day, and other signature experiences, • Virtual engagement opportunities (webinars, panels, networking events) for geographically dispersed alumnae, • Coordinate logistics, program content, and volunteer participation for all alumnae events, in collaboration with the Advancement and Communications teams and other school departments., • Represent The Ellis School at local and regional alumnae gatherings and serve as an ambassador for the School in the broader community.Fundraising & Philanthropic Support, • Partner with the Director of Advancement to research and generate strategies that increase charitable giving from alumnae, alumnae parents, and alumnae families in support of the Ellis Fund and other key initiatives., • Support the cultivation, solicitation, and stewardship of alumnae donors at all levels, including leadership annual giving and major gifts, in close collaboration with the Advancement team., • Expand and strengthen the class representative program and other volunteer-led philanthropic efforts to inspire peer-to-peer outreach and increased participation in giving.Communications & Storytelling, • Develop and implement a multi-channel communication strategy to keep alumnae informed and engaged, including:, • Regular e-newsletters and targeted email campaigns, • Social media content focused on alumnae achievements, Ellis mission in action, and school news, • Website content dedicated to alumnae engagement and giving, • Lead the production of alumnae-focused publications, including the alumnae magazine, newsletter, and special stewardship pieces, in partnership with Communications/Marketing., • Maintain current and authentic messaging about The Ellis School on the website, social media platforms, and other external channels, ensuring that alumnae voices and stories are centered and celebrated.Data, Research & Systems, • Oversee the accurate maintenance and ongoing enhancement of alumnae data within the School’s advancement database, including contact information, engagement history, and giving records for alumnae and alumnae families., • Research and profile alumnae backgrounds to support volunteer recruitment, networking initiatives, and donor identification strategies., • Collaborate with Advancement operations staff to ensure accurate tracking of alumnae engagement metrics, event participation, and fundraising outcomes.Volunteer & Governance Support, • Serve as the primary liaison to the Alumnae Leadership Council, helping to set agendas, plan meetings, and support their initiatives and committees., • Identify, recruit, train, and support alumnae volunteers for class representative roles, reunion committees, networking events, and other engagement opportunities., • Work closely with the Admissions Office to identify alumnae who can serve as ambassadors and connectors for prospective families and students, both locally and in key markets.School Partnership & Community Presence, • Collaborate with school leadership to align alumnae engagement work with The Ellis School’s strategic priorities, including enrollment, advancement, and programming., • Assist with photography and visual documentation at major school and alumnae events and maintain a photo and story archive for future publications and digital content., • Participate fully in the life of the School, including attendance at key events, occasional evening and weekend work, and visible support of Ellis traditions and culture.Qualification Requirements, • Bachelor’s degree required; Master’s degree preferred., • 3+ years of experience in development, alumnae/alumni relations, and/or fundraising, preferably in an independent school or higher education environment., • Demonstrated success:, • Building and sustaining relationships across generations and diverse communities, • Designing and delivering impactful engagement programs and events, • Supporting or directly managing annual giving and/or campaign initiatives, • Proven ability to manage budgets responsibly and work within financial parameters., • Strong comfort level with technology, including:, • Advancement/CRM databases (e.g., Raiser’s Edge, Veracross, or similar), • Email marketing platforms, • Social media channels and basic content creation tools, • Outstanding interpersonal and communication skills, both written and verbal, with the ability to communicate the value of an all-girls PK–12 education to a wide range of constituents., • Excellent organizational, time-management, and presentation skills; able to manage multiple projects and deadlines with attention to detail., • Collaborative, collegial, and solutions-oriented; able to work effectively as part of a small, high-performing Advancement team., • High level of integrity, discretion, and professionalism;
