Job Description EXECUTIVE ASSISTANT Do you have a passion for helping others? This could be the role for you! Ronald McDonald House Charities of Northeast Ohio, Inc. (RMHC NEO) is currently seeking a highly motivated individual who possesses passion, compassion, and dedication as an Executive Assistant to support the efforts of the RMHC NEO organization. This individual will provide comprehensive support to the Chief Executive Officer, Chief Operating Officer, Chief Marketing & Development Officer, Board of Directors, Community Trustees, and other committees as assigned. In the spirit of teamwork, this individual interacts in collaboration with RMHC NEO staff and volunteers to provide support and assistance in the fulfillment of their goals and objectives. JOB RESPONSIBILITIES: • Ensures that the activities of this position are consistent with the Mission, Vision, and Core Values of the organization., • Performs a broad variety of administrative tasks that include, but are not limited to answering phones, greeting, and directing visitors, researching and responding to questions or concerns, preparing documents, filing & electronic records maintenance, managing calendars, coordinating, and setting up meetings, and preparing documents., • Anticipates the needs of the organization and proactively addresses these needs with the CEO or other leaders to facilitate their ability to effectively lead the organization., • Oversees assigned projects and performs research where necessary., • Serves as a liaison and provides support to the Board of Directors, Executive Committee, Governance Committee, Community Trustees, Legacy Council, McDonald’s Advisory Committee, and other committees as assigned., • Performs a variety of administrative tasks for the Board of Directors, Community Trustees, and other committees including distribution and contact lists, coordination of member gifts at the end of their commitment, and the maintenance of files on the shared drive., • Organizes and prepares for staff, Board of Directors, Community Trustees, and other committee meetings including all logistical meeting needs. Ensures meeting materials are available on the Board portal at least three business days prior to the meeting. Prepares and distributes meeting minutes in a timely manner., • Oversees the completion of the Executive Summary, Organizational Update, and Dashboard for all Board and Trustee meetings., • Categorizes and updates all information stored in Board portal and ensures resources are updated. Leads training for all users of the portal and coordinates the creation of profiles and permissions., • Coordinates and updates materials for orientation of new Board and Trustees and schedules orientation meetings, as necessary., • Oversees the completion of Statements of Expectations (SOE), Conflict of Interest (COI), and Financial Commitment Forms (FCF) by all Board Members and Trustees., • Prepares and over4sees annual surveys to Board of Directors, Community Trustees, and committees. Compiles results and prepares survey highlights for the Governance Committee., • Supports Human Resources with new hire onboarding functions, coordinating training programs, employee events, and other initiatives., • Maintains confidentiality at all times., • Provides support for organizational projects, initiatives, public relations, and fund development activities as assigned., • Conducts tours of RMHC NEO as needed., • Establishes priorities for managing own work while staying on a focused, efficient path for achieving results., • Acts as organizational ambassador and presents a positive image of RMHC NEO., • Performs other duties as assigned. SUPERVISORY RESPONSIBILITIES: Identifies administrative tasks that can be completed by volunteers. Trains and oversees volunteers as they complete these tasks. EDUCATIONAL REQUIREMENTS & WORK EXPERIENCE: • High School diploma or GED with 8 or more years of related experience required. Associate’s or Bachelor’s degree in Business Administration, Communications, or related field with a minimum of 5 years of experience in a related field preferred., • Previous experience supporting executives and board members a plus. OTHER QUALIFICATIONS: • Advanced computer proficiency with MS Office products: Word, Excel, PowerPoint, Outlook, and Teams. Ability to learn and use organization-specific software., • High level of initiative, self-motivated, and driven to produce results., • Strong organizational skills and ability to develop and maintain administrative procedures., • Adept at managing multiple priorities and initiatives., • Excellent internal and external communication skills., • Strong time management skills., • Ability to pay close attention to details., • Ability to be self-directed, work well independently and as part of a team., • Must be able to work evening hours or weekends for meetings or special events., • Must be a team player and willing to pitch in and assist in areas that may not fall directly within this position’s stated responsibilities., • Must have a valid driver’s license with an acceptable driving record., • Mission focused. WORKING CONDITIONS AND PHYSICAL EFFORT: • Regularly required to use vision, speech, and hearing to answer questions, to prepare documents or reports, or to engage with others while in the course of daily work., • Regularly sits at a desk to perform administrative work, view computer monitors, and utilize a computer keyboard., • Regular use of hands and arms to handle items, reach above or below, stock or grab supplies, and file documents., • Occasionally stands and walks while setting up for meeting or events, attending meetings or events, performing clerical functions, and giving tours., • Regularly required to lift and carry up to twenty pounds. This position is located at the Cleveland Ronald McDonald House, 10415 Euclid Avenue, Cleveland, OH, where free on-site parking is available.
