Fitness Program, • Pet Insurance, • Legal Assistance, • Optum Financial Service through ConnectYourCare The Purchasing Assistant will be responsible for facilitating the purchasing process including sourcing, negotiating, and managing suppliers and stakeholder relationships for designated categories of goods or services for all facilities as delegated by the Purchasing Supervisor. SPECIFIC DUTIES & RESPONSIBILITIES: • Stakeholder Communication: Collaborating with other departments, such as finance and operations, to ensure alignment on procurement goals, requirements and resolving any outstanding issues. Maintaining and presenting quarterly and annual data to determine purchasing needs., • Sourcing: Selecting and onboarding new vendors, including performing vendor research and processing supplier registration and qualification. Maintaining awareness of industry trends and benchmarks in assigned categories., • Vendor Management: Meet with suppliers regularly to discuss performance, resolve issues, and maintain positive relationships to ensure that the goods and services are adequate, ensuring compliance with relevant regulations and policies. Manage supplier agreements, ensuring compliance with written terms and timely renewals., • Negotiation and Pricing: Obtain competitive quotes from multiple suppliers and analyze them for best value., • Order Processing: Liaising with internal departments and external suppliers to facilitate smooth purchasing processes, such as conducting Request for Quotations (RFQs), ensuring the bidding procedure is followed and negotiate pricing, delivery terms, and service levels and issuing and managing Purchase Orders (POs) in accordance with company policies., • Problem Solving: Working with internal staff and system tools to compare deliveries with purchase orders to identify discrepancies, assisting in resolving any issues or discrepancies related to orders, deliveries, or invoices., • Records and compliance: Maintaining accurate records including monthly reports, approvals, bid, and purchase order documentation, as well as up to date vendor information. Ensure purchasing activities adhere to company policies, legal requirements, and ethical standards., • Process Improvement: Identifying opportunities to improve purchasing processes and workflows. Implementing best practices and ensuring compliance with company policies., • Other duties as required by the Purchasing Supervisor. REQUIREMENTS: EDUCATION/TRAINING AND EXPERIENCE KNOWLEDGE, SKILLS AND ABILITIES High School Diploma required, some college preferred or equivalent vocational study in Supply Chain Management, Procurement, Business Administration, Finance. Minimum of 2 to 4 years of experience in purchasing operations and category management. Excellent verbal and written communication ability Knowledge of Procurement tools such as ERP, e-procurement, Inventory systems etc. Computer Literate – Microsoft Office, especially in Excel.
