JOB SUMMARY: The Receptionist is primarily responsible for opening the main Avaya switchboard, greeting and assisting all customers, guests, visitors etc. The position will perform daily administrative functions, periodic back-up coverage for the mailroom and additional clerical duties assigned by management to meet departmental goals. PRINCIPAL DUTIES/RESPONSIBILITIES (ESSENTIAL FUNCTIONS): Greet all non-employees entering the facility and arrange for employee escorts to bring customers, visitors, guests etc. to and from business meetings. Issue “one-day” visitor badges to visitors, guests, customers, contractors, etc. Operate the telephone switchboard and direct calls to the appropriate personnel/departments. Receive and record all calls and e-mails from internal customers in regards to facility related issues. Maintain & update the department maintenance logbook. Notify facility personnel of emergencies or conditions requiring immediate attention. Notify cleaning staff of requests that they handle. Accept, sign for, document and arrange final delivery of all special deliveries and/or travel tickets arriving at the reception desk. Contact vendors to arrange services as directed by the Facility Manager or Facility Coordinator. Assist with other clerical duties as directed by the Facility Manager, or Facility Coordinator. NON-PRINCIPAL DUTIES/RESPONSIBILITIES (NON-ESSENCIAL FUNCTIONS): Periodically assist the Human Resources Department as well as other departments with bulk mailings and other requests. Incumbent will cross train as a back-up for the Mailroom clerk. MINIMUM REQUIRED QUALIFICATIONS: High school diploma or GED equivalent. Two years receptionist and or office clerical experience. Excellent telephone and interpersonal communication skills. Strong reliability and good attendance. Intermediate proficiency in Microsoft Windows applications. Possess and maintain unrestricted driving privileges with a valid driver’s license. ADDITIONAL DESIRED QUALIFICATIONS: Customer service experience. WORKING CONDITIONS: The Receptionist works in a general office environment in direct contact with employees, customers, visitors, guests and all persons entering the company headquarters facility. The Receptionist routinely operates the Avaya telephone switchboard, a personal computer and electronic visitor badge printer. The Receptionist must remain at the reception desk during normal business operating hours except when properly relieved for breaks and or lunch periods. Overtime is required to cover special events or for exceptional circumstances. Compensation and Benefits The compensation for this position typically falls between $17.00 and $21.00 per hour. This position is eligible for overtime. This position may be eligible for a sign on bonus, shift differential or relocation assistance. Note: the final compensation offered to a successful candidate will depend on several factors that may include but are not limited to the type and years of relevant experience, Falcon-specific experience, relevant education/certifications, geographic location, and shift.
