Who we are looking for. Were seeking a warm, organized, and professional Receptionist / Client Relations Assistant to serve as the first point of contact for clients, visitors, and callers creating a welcoming, well-coordinated experience that reflects our firms high standard of care and professionalism in our Buffalo office. Reporting to the Client Success Manager, this person is highly dependable, enjoys helping others, and takes pride in maintaining an organized and efficient front office. This role requires strong communication skills, impeccable attention to detail, and absolute discretion, as it routinely involves handling sensitive client information and supporting essential administrative functions that keep the firm running smoothly. Qualified candidates should have: • High school diploma; associates or bachelors degree preferred., • 1-3 years of customer service, front desk, or receptionist experience., • Excellent communication and interpersonal skills., • Proficiency with Microsoft Office Suite and comfort learning new software (experience with case/project management software is a plus)., • Professional demeanor, strong organizational skills, and a proactive, client-focused mindset. Responsibilities include, but are not limited to: • Client & Call Management, • Answer, screen, and direct incoming calls in a professional, empathetic, and efficient manner, ensuring every caller feels heard and supported., • Accurately record messages and route inquiries to the appropriate team members with urgency and clarity., • Document or update basic client information as needed to ensure accurate handoff and follow-through., • Front Desk & Visitor Experience, • Greet clients, visitors, and vendors with warmth, professionalism, and genuine care, reinforcing the firms reputation for exceptional service., • Ensure the reception and waiting areas remain organized, welcoming, and representative of Richmond Vonas brand and values., • Administrative & Operational Support, • Manage conference room scheduling, ensuring client meetings and internal conferences are well coordinated and prepared in advance., • Handle all incoming and outgoing mail, deliveries, and courier services in a timely and organized manner., • Firm Engagement & Special Initiatives, • Assist with firm events, community outreach programs, and special projects that strengthen Richmond Vonas presence and client relationships., • Collaborate with the Client Success Manager on initiatives designed to enhance the overall client experience., • Professional Standards & Values, • Uphold strict confidentiality and discretion when handling sensitive client and case information., • Demonstrate a commitment to our core values: Winning, Always Ready, Professionalism, Precision, High-Level Communication, Accountability, and Service., • Perform additional duties and assist with special projects as assigned by the Client Success Manager., • Confidentiality Expectations, • This role routinely handles sensitive and confidential client and firm information.
