Job DescriptionSalary: $65-$75K annually depending on experience Field Operations Coordinator Chicago, IL | Field-Based Role This is a full-time, field-based role supporting multifamily residential properties across Chicago. Paragon Property Management is a Chicago-based residential property management company focused on operating well-maintained, professionally run multifamily properties. We manage properties across a range of Chicago neighborhoods with a clear standard: properties must be safe, functional, and positioned to attract and retain quality residents. We are hiring a Field Operations Coordinator to serve as our primary on-the-ground representative - providing field judgment, inspections, documentation, and on-site coordination that support a fully remote operations team. This is a senior field role. It is not a desk job, and it is not a maintenance technician position. What This Role Is As the Field Operations Coordinator, you are the companys eyes, judgment, and presence in the field. You translate real-world property conditions into clear, actionable, and well-documented insight so the operations team can make informed decisions without needing to be on-site. You will work independently throughout Chicago, visiting properties, performing inspections, assessing risk, and ensuring Paragons standards are understood and upheld both internally and with property owners and residents. You are the primary in-person representative of the property management team. Core Responsibilities Property Inspections & Documentation • Conduct frequent property, unit, and turnover inspections using mobile tools, • Perform occupied unit inspections, including periodic and premove-out inspections, following defined procedures, • Document conditions clearly with photos, notes, and written observations, • Identify maintenance, safety, security, habitability, or lease-compliance concerns, • Exercise field judgment and provide recommendations not just raw data, • Perform on-site assessments of prospective or transitioning properties, • Walk properties independently or alongside owners or other stakeholders, • Evaluate overall property condition, common areas, access points, lighting, security, and unit readiness, • Identify gaps between current conditions and Paragons operating standards, • Recommend stabilization, improvement, or scope-of-work items needed to bring properties up to standard, • Assess owner willingness and alignment to support required improvements, • Provide candid feedback on property risks, challenges, and suitability for management, • Inspect vacant units before and after turnovers, • Perform lock changes, lockbox placement, and key coordination, • Spot-check vendor work for quality, completeness, and scope adherence, • Identify when turnover scope or execution is falling short and flag issues early, • Troubleshoot and reconnect smart devices such as thermostats and keypad locks, • Assist with access, configuration, or verification issues that exceed basic maintenance capabilities, • Confirm utilities, access, and security are properly set up for vacant units, • Serve notices (such as 5-day notices) on-site when directed, following established procedures, • Support approved move-out arrangements, including cash-for-keys exchanges, • Meet tenants on-site to deliver documentation or payments related to approved agreements, • Coordinate on-site access for sensitive situations, including sheriff-assisted evictions or court-ordered access, • Provide access and support to maintenance staff or vendors when required, • Verify unit condition, access, and vacancy status following sensitive visits Serving notices is an occasional, situational responsibility and is not the sole or primary method used by the company. This role does not own or manage legal service processes. Explicit boundary: This role does not collect rent or negotiate payment terms in person. On-Site Representation & Resident Interaction • Represent Paragon professionally during all on-site visits, • Interact with residents respectfully and calmly during inspections, access coordination, or scheduled visits, • Reinforce expectations professionally without engaging in disputes or negotiations, • Observe and document conditions or behaviors that may indicate elevated operational or tenancy risk, • Report observations objectively to support appropriate follow-up by the operations team, • Properties are located throughout Chicago and include a range of urban residential environments, • Work includes older multifamily buildings and active rental properties, • Comfort working independently in varied neighborhood and property conditions is required, • This role involves regular driving, walking properties, and working in the field year-round, • Not a maintenance technician role, • Not a desk-only or remote position, • Not a task runner or errand role, • Not responsible for vendor pricing, approvals, or owner billing decisions, • Not responsible for rent collection or leasing negotiations, • Experience in property management, inspections, facilities, construction, maintenance coordination, or field operations, • Strong observational skills and sound practical judgment, • Clear written communication and comfort documenting findings, • Comfort using mobile technology (tablet or smartphone) for inspections and reporting, • Valid drivers license and reliable transportation, • Competitive compensation based on experience, • Mileage reimbursement for field travel Why This Role Matters This position plays a critical role in maintaining Paragons operating standards, identifying risk early, supporting effective decision-making, and ensuring properties are managed with consistency, professionalism, and care.
