SubSeaSail is seeking a reliable, detail-oriented Bookkeeper / Office Manager to support day-to-day accounting, government contract cost tracking, office administration, and audit-ready records. This role will work exclusively in Deltek Costpoint, Microsoft Excel, and company-controlled file systems. The position may be structured as part-time or full-time depending on business needs and the candidate selected, but regular on-site availability during standard office hours in Point Loma is required. The ideal candidate has hands-on bookkeeping or accounting experience, strong Excel skills, practical knowledge of GAAP and accrual accounting, familiarity with federal government contract accounting concepts, and the judgment to work around sensitive contract, financial, personnel, and potentially Controlled Unclassified Information (CUI). Deltek Costpoint experience is strongly preferred. Key Responsibilities Accounting and Costpoint Support • Enter, review, and maintain accounting transactions in Deltek Costpoint, including accounts payable, journal entries, accruals, adjustments, project/cost coding, and supporting documentation., • Maintain accurate accounting records in accordance with GAAP, company procedures, and government contract accounting expectations., • Support project, contract, and cost objective tracking, including direct costs, indirect costs, unallowable costs, cost pools, and labor/material coding., • Prepare or assist with bank, credit card, vendor, general ledger, and balance sheet account reconciliations., • Support month-end, quarter-end, and year-end close activities, including accruals, prepaid expenses, fixed assets, reconciliations, and variance review., • Assist with vendor setup, invoice review, coding, approval documentation, W-9/1099 support, payment support, and vendor file maintenance., • Maintain Excel schedules, import templates, reconciliations, cost detail, variance analysis, and other workpapers needed for management review and audit support., • Assist with labor distribution, timesheet support, employee/vendor cost coding, and reconciliation of labor-related expenses to Costpoint and supporting records. Government Contract and Compliance Support • Apply basic FAR/DFARS, GAAP, and government contractor accounting concepts to support proper classification of allowable, allocable, reasonable, direct, indirect, and unallowable costs., • Maintain organized electronic and paper documentation for transactions, reconciliations, contracts, purchase support, and compliance requests., • Support audit-ready files for internal review, financial statement support, government contract review, and DCAA style documentation expectations as applicable., • Follow company procedures for document retention, confidentiality, cybersecurity, CUI handling, access control, and separation of duties. Office Management and Administrative Support • Coordinate routine office operations, including supplies, vendors, office organization, equipment support, filing, mail, and general administrative support., • Assist with onboarding logistics, forms coordination, employee/contractor file organization, and administrative documentation as assigned., • Coordinate with leadership, engineering, program management, finance, HR, and outside advisors to keep records, approvals, and office workflows moving., • Support meeting preparation, document organization, expense documentation, purchasing support, and other small-business operational needs., • Help maintain a professional, organized, and compliance-conscious office environment suitable for government contract work. Required Qualifications • Experience performing bookkeeping, accounting support, staff accounting, or finance administration in a business environment., • Working knowledge of GAAP accounting principles, accrual-basis accounting, account reconciliations, journal entries, and month-end close support., • Experience with government contract accounting, project accounting, job cost accounting, cost objective tracking, or similar detailed cost accounting., • Strong Microsoft Excel skills, including reconciliations, formulas, data cleanup, pivot tables or summary reporting, and audit support schedules., • Ability to maintain accurate records, follow written procedures, meet deadlines, and work carefully with detailed financial and contract documentation., • High degree of confidentiality, judgment, professionalism, and discretion when handling financial, personnel, vendor, contract, or controlled information., • Ability to work on-site in Point Loma during standard office hours and coordinate effectively with a small, cross functional team., • Ability to satisfy employment eligibility, access control, confidentiality, and company screening requirements applicable to the role. Strongly Preferred Qualifications • Hands-on Deltek Costpoint experience, including transaction entry, project/cost accounting, reconciliations, AP, journal entries, reporting, or data cleanup., • Experience supporting U.S. federal government contractors, defense contractors, SBIR/STTR, OTA, cost reimbursable, fixed-price, or milestone-based contract environments., • Practical knowledge of FAR and DFARS concepts, DCAA-style audit support, indirect rates, cost pools, direct/indirect cost allocation, and treatment of unallowable costs., • Experience with labor distribution, timesheet reconciliation, project coding, purchasing documentation, and accounting system implementation or cleanup., • Experience in manufacturing, engineering, research and development, hardware, robotics, maritime technology, naval/defense, or other project-based technical environments., • Sailing, ocean, maritime, marine operations, or naval/defense industry experience or strong personal interest. Education and Experience • Associate degree or bachelor's degree in accounting, finance, business, or a related field preferred; equivalent practical experience may be considered., • Two or more years of bookkeeping, accounting, office management, or government contract accounting experience preferred., • Deltek Costpoint experience is strongly preferred and may substitute for some other experience depending on depth of system knowledge. Compliance, Security, and Access Requirements • This position may involve access to financial records, personnel information, contract documents, Federal Contract Information (FCI), Controlled Unclassified Information (CUI), or other sensitive company or government-related information., • The selected candidate must follow company security policies, confidentiality requirements, acceptable-use policies, document handling procedures, CUI/cybersecurity training requirements, and access-control procedures., • Access to certain systems, documents, facilities, projects, or customer information may be contingent on completion of company screening, reference checks, employment eligibility verification, background checks where legally permitted, and contract-specific access requirements., • If a government security clearance, public trust, facility access authorization, U.S. person status, U.S. citizenship, or other contract-specific access approval becomes required for assigned work, continued assignment to that work may depend on the candidate's ability to obtain and maintain the required access, to the extent permitted and required by applicable law, regulation, or contract., • Any criminal history review or background check will be conducted in accordance with applicable federal, state, and local law, including California fair-chance and privacy requirements. Work Environment and Physical Requirements • This is an on-site office role based in Point Loma, San Diego, California. Remote work is not expected to be the primary arrangement due to office operations, document control, and potential controlled-information handling needs., • Regular work is performed using a computer, Deltek Costpoint, Microsoft Excel, shared drives, email, accounting records, and office documentation., • Must be able to sit or stand at a workstation, use a keyboard and monitor, review documents, communicate by email/phone/video/in person, and occasionally lift or move files, records, or office materials up to 20 pounds., • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role. Compensation and Classification • Hourly wage range: $25.00 - $40.00 per hour, based on experience, Costpoint knowledge, government contract accounting background, FAR/GAAP knowledge, office management capability, and business needs., • This position is hourly and non-exempt. Overtime, meal periods, rest periods, sick leave, and other wage and hour requirements will be administered in accordance with applicable California and local law., • This position may be structured as part-time or full-time.
