The Role Provides comprehensive administrative, production, and operational support across Eureka Productions and Eureka Studios. This role serves as a critical liaison between executives, production teams, network partners, agencies, and vendors while ensuring the efficient coordination of schedules, travel, production and operations. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced television production environment. The Responsibilities • Manage complex calendars, schedules, expenses, travel and adminisative needs for senior executives across Eureka Productions and Eureka Studios., • Coordinate internal and external meetings, ensuring efficient scheduling and communication with network, agency, and production partners., • Build and maintain strong working relationships with network and agency assistants to facilitate scheduling and communications., • Take detailed notes for all internal, network, and production calls and distribute meeting recaps to attendees in a timely manner., • Serve as a liaison between internal teams, network partners and producers., • Support scheduling, meeting coordination, and follow-up action tracking across development and production initiatives., • Prepare, distribute, and track Non-Disclosure Agreements (NDAs) for producers, talent, vendors, and prospective hires prior to project discussions., • Monitor invoice due dates and submit approved invoices to Finance for development, casting, and production-related vendors., • Maintain accurate records of contracts, invoices, approvals, and production documentation., • Support development and casting initiatives as a primary point of contact between Eureka, network partners, producers, and creative teams., • Assist showrunners, Executive in Charge, and production executives with research, pitch materials, presentations, scheduling, and project coordination., • Coordinate development calendars, milestone trackers, and project timelines during development and casting phases., • Print and organize casting materials and development documents for executive review., • Research talent, host, and casting opportunities to support creative development efforts., • Assist in the creation, editing, and presentation of pitch decks and development materials for network and internal presentations., • Source, purchase, and organize props and presentation materials for pitches and creative meetings., • Participate in general meetings, creative pitches, and development discussions., • Support the preparation of presentations, research materials, and creative concepts for prospective projects., • Assist with coordination of onboarding production teams and facilitate access to company resources, including office space, parking, technology, email accounts, shared drives, and production tools., • Provide administrative and ad hoc support to production teams as needed, • Support production audits by gathering and submitting required materials, including crew lists, call sheets, credits, and supporting documentation., • Maintain compliance records and production archives as requested by internal teams and external partners., • With Fremantle publicity team, garther information for award submission materials, including episode masters, approved photography, talent bios, show descriptions, credits, and supporting documentation., • Coordinate annual holiday gifting, including gift research, approvals, purchasing, and distribution., • Maintain records of key network executives, production partners, and important milestones to support relationship management efforts., • Arrange gifts and acknowledgments for birthdays, celebrations, and significant life events with executive approval., • Other duties as assigned. The Essentials • 3–5+ years of experience in executive support, television production, media, entertainment, or related industries., • Exceptional organizational, project management, and multitasking abilities., • Strong written and verbal communication skills., • Proficiency with Microsoft Office,, • Ability to handle confidential information with discretion and professionalism., • Experience supporting senior executives and managing competing priorities in a fast-paced environment., • Knowledge of television production workflows, development processes, and industry operations preferred. This position is between $70,000.00-$75,000.00/annually, exclusive of any overtime, bonuses or other incentive compensation (if any).
