Job Description SUMMARY The Commercial Property Manager is responsible for the day-to-day management and performance of an assigned portfolio of commercial properties, including retail, office, medical, and industrial assets. This role focuses on tenant relations, lease administration, operations, and financial performance at the property level. The Commercial Property Manager works under the direction of the Director of Commercial Property Management, following established strategies, business plans, and owner goals. This position is expected to maintain strong tenant relationships, execute operational plans, and proactively communicate property needs, risks, and opportunities to the Director. DUTIES AND RESPONSIBILITIES Administrative / Leadership · Manage the daily operations of an assigned portfolio of commercial properties in alignment with policies, procedures, and directives from the Director of Commercial Property Management. · Serve as the primary point of contact for tenants on routine matters, including maintenance requests, lease questions, operating issues, and general communication. · Assist the Director with implementation of action plans, business plans, and owner directives at the property level. · Schedule and conduct regular property visits and tenant check-ins; provide timely updates and follow-up on outstanding items. · Maintain organized electronic and physical files for leases, correspondence, inspections, and other critical documents in accordance with company standards. · Participate in regular one-on-one meetings and performance discussions with the Director to receive coaching, feedback, and professional development. · Support a positive, professional, and collaborative work environment and represent Bear Real Estate Group in a courteous, solutions-oriented manner. Operations & Tenant Relations · Ensure each property presents a clean, safe, and professional environment consistent with company standards and lease requirements. · Respond to tenant concerns, service requests, and inquiries promptly; follow through to resolution and communicate status updates clearly. · Coordinate tenant move-ins and move-outs, including required documentation, inspections, and communication of building/center rules. · Support the Director and Facilities team in planning and executing tenant improvements (TI) and landlord work; facilitate access and communication with tenants and vendors. · Monitor parking, signage, common areas, and amenities to ensure compliance with leases and association rules when applicable. · Assist in the coordination of vendor services, including janitorial, landscaping, snow removal, security, and other contracted services; ensure performance meets expectations and contractual requirements. · Participate in association meetings and activities as directed by the Director; prepare property-level updates and follow through on assigned tasks. Leasing, Lease Administration & Marketing · Maintain a thorough understanding of lease terms, critical dates, rent schedules, options, and operating expense provisions for assigned properties. · Track key lease dates, including expirations, renewal notice periods, rent escalations, and options; notify the Director of upcoming events in advance. · Prepare draft lease abstracts and update lease data in company systems as needed; verify accuracy of information used for billing and reporting. · Assist the Director with lease negotiations by providing property-level information, tenant history, and operational input. · Support the execution of approved renewal strategies and rent increases consistent with the Director’s direction and ownership goals. Financial Management · Monitor rent collections, fees, and charges for assigned properties; follow up on past due accounts in accordance with company policies and timelines. · Prepare and review tenant ledgers and rent statements; escalate irregularities or disputes to the Director and Accounting as needed. · Assist Accounting and the Director with preparation and review of annual CAM (Common Area Maintenance) estimates and reconciliations; help explain charges to tenants and support timely distribution. · Review and code invoices for accuracy and appropriate allocation; ensure timely submission to Accounting in line with budget and approval workflows. · Provide input to the Director during annual budget preparation for assigned properties (e.g., anticipated repairs, contracts, and operating needs). · Monitor actual performance against budgets at the property level; identify variances and work with the Director to address controllable issues. Facilities / Capital Support · Conduct regular property inspections (at least quarterly, or more frequently as needed) and document findings related to safety, repair needs, and presentation. · Enter, track, and follow up on service requests using the company’s work order system; verify completion and tenant satisfaction. · Communicate property-level maintenance needs and trends to the Director and Facilities, including recurring issues or capital needs. · Assist with coordination of capital projects (e.g., roof replacements, parking lot work, façade upgrades) under the direction of the Director. · Support implementation of preventative maintenance programs and vendor service schedules at the property level. Legal / Risk Management & Compliance · Monitor tenant compliance with lease terms, rules and regulations, and association documents; issue notices as directed by the Director. · Assist the Director and legal counsel by gathering documentation for disputes, defaults, and potential evictions. · Report incidents, accidents, property damage, or safety concerns promptly to the Director and Facilities; ensure appropriate documentation is completed. · Follow company policies and procedures related to insurance claims, incident reporting, and risk mitigation. · Ensure adherence to applicable laws, regulations, and company policies, including Fair Housing and equal opportunity requirements where applicable to mixed-use or residential-adjacent assets. Reporting & Technology · Maintain accurate property, tenant, and lease information in company property management software (e.g., RealPage, AppFolio) and other systems. · Generate and review recurring reports (rent rolls, delinquency reports, vacancy reports, work order summaries) and provide commentary to the Director as requested. · Use company systems and tools consistently, ensuring data integrity and supporting portfolio-level reporting. · Identify opportunities to streamline property-level processes and share ideas with the Director and Software and Systems Support team. Qualifications · Bachelor's degree in business administration or equivalent experience. · Proven ability to develop and implement successful business strategies. · Strong customer service and relationship-building skills; comfortable interacting with tenants, vendors, and ownership representatives. · Basic financial acumen, including understanding of rent structures, operating expenses, and budgets; willingness to grow financial skills with coaching. · Minimum of 5 years’ experience in commercial property management. Multi-asset commercial portfolio (retail, office, medical, and/or industrial) experience preferred. · Excellent communication, interpersonal, and leadership skills. · Proficiency in property management software (RealPage, AppFolio preferred) and Microsoft Office Suite. · Real estate salesperson license (preferred).
