Job DescriptionSalary: $26-$31 OVERVIEW The Executive Assistant serves as a strategic ministry partner to the Lead Pastor and provides high-level administrative, organizational, and project management support to the Executive Team. This role functions as an extension of the Lead Pastor -shadowing him on Sundays and throughout the week, actively discerningfollow-upneeds, capturing decisions, and ensuringtimelyand thorough execution.In addition,the Executive Assistant will coordinate and manage key rhythms of staff life, including staff meetings, retreats, celebrations, staff practices, and other events that contribute to a healthy and aligned staff culture.This roleis responsible fordriving tasks, projects, and events to completion by managing timelines, aligninglogistics, and ensuring effective communication andfollow-throughon behalf of the Executive Team. ESSENTIAL FUNCTIONS: Partner with the Lead Pastor: • ShadowtheLead Pastor on Sunday mornings (when heis teaching) and attend midweek meetingsas requestedalongsideor on behalf of himfor the purpose of protecting his time andensuring follow-up., • Manageexternalspeaking requests,ministry collaborations, and related logistics., • Work with the ExecutivePastor to plan and execute staff events (meetings, retreats, conferences, celebrations, etc.), including travel arrangements, lodging, and logistical coordination., • Supportthe Executive Pastor of Ministrieswithprojects., • Drive tasks, projects, and events to completion by managing timelines, aligninglogistics, and ensuring effective communication and follow-through, • Suggest more efficient ways to organize and execute ministry, • Manage Executive Team calendars and handle requests for meetings, • Assistin creatingagendasandmeetingsummaries, keepingtrack of next steps, decisions,andfollow-upasnecessary., • Researchvarious topicsas needed for key projects and initiatives, • Order books,suppliesand other materials, • Provide executive summaries for webinars, podcasts, and other virtual recordings, • Protect the executive teams time and energy by deciding who and what comes to their attention, including emails, invitations, and meeting requests., • Engage other ministry leaders, staff, and community leaders on behalf of the ExecutiveTeam, • Two years ofpreviousexperience as an Executive Assistant or equivalent is preferred., • Ability to interact with all types of personalities gently, respectfully, and effectively,including saying no., • Strong organizational skills and be able to manage and prioritize a wide range of responsibilities, • Proactive problem-solverwho is passionate about details, accuracy, and excellence, • An eye for well-designed and hospitable environments, • Able to quickly transition from one project to another and be able to manage multiple projects while meeting deadlines., • Highly proficient with technology, including Microsoft Office applications (Excel, Word,Teams,etc.) SCHEDULE 2x Per Week Each Meet with Lead Pastor; Meet with Executive Pastor Every Other Week Meet with Executive Pastor of Ministries 1x Per Week Each All SundayAMGatheringswhen Lead Pastor is speaking( ~75% of the year);Attend the weekly All Staff Meetings on Tuesday mornings; Attend the weekly All Staff Prayer Pause 1x Per Month Each Meet with Executive Team; Admin Meeting 1x Per Year Each Participate in the All-Staff Retreat, typically in August; Christmas Eve + Easter Sunday Gatherings As Needed Initiate/attend project specific meetings RELATIONSHIPS Reports to theLead Pastor andExecutivePastor and supports the Executive Pastor of Ministries BENEFITS Family Health/Dental Vision Insurance /2 Weeks Annual Leave /2 Weeks Sick/Safe Leave /4 Weeks Paid Maternity/Paternity Leave /10 Holidays/403(b) Plan with Employer Contribution and Match /Employer-Provided Life & LTD Insurance
