Job Description Position Summary The Production Control Coordinator is responsible for helping manage the flow of work from sales order release through material readiness, fabrication, outside processing, shipping, and closeout. This role supports the Operations team by keeping job information accurate, organized, and visible across company systems and departments. This seat requires a detail-oriented person who is comfortable working inside data systems, can stay fluid in a dynamic fabrication environment, and has a strong willingness to learn. The ideal candidate communicates clearly, follows through consistently, and helps create structure where information may be incomplete, changing, or spread across several platforms. Key Responsibilities Production Tracking & Job Flow • Track active jobs through key stages including order entry, detailing, purchasing, fabrication, outside processing, shipping, and closeout., • Maintain accurate job status updates in production control and project management systems., • Help identify bottlenecks, missing information, late materials, drawing revision issues, and schedule conflicts., • Coordinate with the shop, procurement/logistics, estimating, detailing, sales/project management, and leadership to keep jobs moving., • Assist with daily production priorities, workload visibility, and schedule follow-up. Data Systems & Software Platforms • Work across several software platforms used for estimating, project management, inventory, purchasing, production tracking, document storage, and communication., • Enter, update, and verify job-related data with accuracy, consistency, and accountability., • Help maintain clean records for materials, quantities, due dates, vendors, production notes, revisions, and shipping status., • Support company workflows in systems such as Tekla PowerFab, Microsoft Teams, Excel, Outlook, and other internal tools., • Learn new software workflows as the company continues improving its operational systems. Communication & Coordination • Communicate clearly with the Assistant Operations Manager, VP Operations, shop leadership, purchasing/logistics, estimating, detailing, and administrative support., • Follow up on open items and help ensure nothing falls through the cracks between departments., • Provide timely updates on job status, material concerns, production needs, vendor delays, and shipping requirements., • Translate operational information into clear action items for the appropriate team members., • Maintain professional communication with internal personnel and, when assigned, vendors or customers. Purchasing, Material & Logistics Support • Assist with tracking material availability, purchase orders, vendor lead times, and expected delivery dates., • Coordinate with procurement and logistics to confirm materials are ordered, received, staged, and ready for production., • Help monitor outside processing such as galvanizing, finishing, or subcontracted work., • Support shipping coordination by helping confirm job readiness, quantities, weights, delivery timing, and required paperwork. Documentation & Process Improvement • Help organize job folders, drawings, purchase orders, vendor quotes, production notes, and shipping documentation., • Assist with developing, following, and improving standard operating procedures., • Identify recurring issues and help improve workflow, communication, accountability, and data accuracy., • Support the company’s effort to create more structure, visibility, and reliability across operations. Required Skills & Qualifications • Strong attention to detail and accuracy., • Comfortable working with data, spreadsheets, software systems, and digital records., • Ability to learn new systems and processes quickly., • Strong written and verbal communication skills., • Ability to work in a dynamic environment where priorities can shift., • Organized, reliable, and able to follow through on assigned tasks., • Willingness to ask questions, learn, and improve., • Basic proficiency with Microsoft Excel, Outlook, Teams, or similar platforms., • Ability to coordinate with multiple departments and keep information moving. Preferred Qualifications • Experience in production control, manufacturing, fabrication, construction materials, logistics, purchasing, or project coordination., • Experience with ERP, inventory, production tracking, or project management software., • Familiarity with steel, grating, fabrication, drawings, purchase orders, or shop production., • Experience working in a fast-paced operational environment.
