Business Centre Operations Administrator Charity Jobs NI is delighted to be recruiting on behalf of Inspire Business Centre for a Business Centre Operations Administrator to provide operational, administrative and financial support across the day-to-day running of the centre. This is an excellent opportunity for an experienced administrator who enjoys working in a varied, people-facing role, combining front-of-house support, office administration, facilities coordination, financial administration and general business centre operations. The successful candidate will play an important role in ensuring tenants, visitors, clients and stakeholders receive a professional, efficient and welcoming service, while also supporting internal systems, compliance processes and the smooth running of the wider organisation. Location Inspire Business Centre, Belfast This is an office-based role. Hours of Work 37.5 hours per week, Monday to Friday Salary and Benefits £28,000£32,000 per annum, depending on experience. Described as a profit making but not profit taking organisation, Inspire Business Centre exists to support local enterprise, helping start-ups, micro businesses and established businesses access the space, facilities, advice and practical support they need to grow. The centre provides a wide range of business support and administration facilities, including office space, industrial units, conference facilities, business development training and access to wider enterprise support services. Inspire Business Centre works closely with local businesses, partner organisations and government agencies to provide practical support across key areas of business. The Role The Business Centre Operations Administrator will provide wide-ranging administrative, operational and financial support to the Business Centre, helping to ensure smooth day-to-day operations, high-quality client service, accurate record keeping and effective management of key business processes. The role will involve front-of-house responsibilities, general office administration, meeting and room booking coordination, financial administration, basic IT and facilities support, compliance administration and support for programmes, events and stakeholder engagement. Key Responsibilities The successful candidate will: Provide a prompt, professional and courteous service to all users, tenants, visitors and clients. Manage incoming post, general correspondence, records and administrative systems. Support the management of the accommodation address client portfolio. Coordinate value-added tenant services, including post handling and photocopying. Assist with meeting room and conference room bookings. Support the preparation, organisation and facilitation of meetings and Board meetings. Provide administrative support to the Chief Executive and Programme Manager in relation to programmes and external stakeholder engagement. Assist with the delivery, promotion and administration of business-related programmes, enterprise development initiatives and training activity. Support payroll administration, supplier payments, invoicing, purchasing, account management and credit control. Liaise with suppliers, contractors and service providers regarding quotations, delivery schedules and operational matters. Assist with basic IT queries, troubleshooting and audio-visual/teleconferencing setup. Support financial record keeping, management accounts administration and budget reporting. Help ensure compliance with GDPR, ISO Quality Management System requirements and organisational standards. Update website content as instructed. Undertake other general office administration tasks as required. Essential Criteria Applicants should be able to demonstrate: At least 5 years experience in office administration and financial administration within a busy office or service-based environment. Experience in payroll, supplier payments, invoicing, account management and/or credit control. Strong organisational and planning skills, with the ability to manage multiple priorities and deadlines. Excellent verbal and written communication skills. Strong interpersonal skills and a professional, customer-focused approach. Experience using Microsoft Office, including Word, Excel and Outlook. Experience using accounting systems, such as Sage or similar. Ability to manage client-facing and front-of-house responsibilities professionally. High attention to detail and accuracy in financial and administrative record keeping. GCSE, or equivalent, in English and Maths. Desirable Criteria It would be advantageous for applicants to have: Experience supporting Board or senior management meetings. Experience coordinating ISO Quality Management Systems or similar compliance frameworks. Supervisory or team coordination experience. A relevant administrative, business or facilities management qualification. Sage Accounts qualification, Level 2 or equivalent.
