Job Title: Academic Co-Ordinator Location: Oxford (Office Based) Main duties: Part of the Academic team delivering coherent, quality programmes and ensuring they are completed to time. • Contribute to the building of Academic Short course, Tutorial and other programmes., • Join regular meetings with the team to ensure that the running of all projects is efficient., • Support a positive working relationship with team members. Be part of a positive and enabling operating environment for the team, • Contribute to the development and enhancement or processes and systems. This may include tasks such as reviewing processes and providing ideas for improvements., • Support the creation of new systems and processes to streamline operations to keep up with the changing needs of the team., • Operating as an individual, organising and planning your workload as delegated by the Academic Lead, • Prioritising your workload effectively and pre-empting any issues that may arise where possible, • General administration duties and programme support tasks online and offline, • Contributing to new programme ideas as delegated by the Academic Lead. Introducing new programme ideas where possible, • Researching and contacting prospective speakers for our programmes and events, • Timetabling and scheduling of sessions online and offline, • Setting up online sessions and offline classroom premises when appropriate, • Preparing and processing related paperwork, • Ensuring smooth day-to-day running of the programmes, • Maintaining and updating database as requested, • Contribute to the day-to-day management of overall programme lines (with responsibilities for specific programmes)., • Exploring and contracting tutors and speakers for specific topics, • Creating course handbooks and syllabi to be sent to students, • Proofreading any course materials, • Consulting on written promotional materials, • Preparing, organising and populating programme documents with up-to-date materials and information, ensuring accuracy, clarity and consistency in content, • Communicating clearly and in an engaging manner with the students, primarily through WhatsApp, • Consistently demonstrating a ‘can do’ approach to work and self-motivate to achieve high quality standards., • Maintain effective and positive relationships with key stakeholders, both within and outside the OPP, and ensure good lines of communications with our speakers, external collaborators and suppliers, and academic institutions and others, to build a stronger profile and reputation for OPP, • Working in collaboration with the Operations Team to deliver programmes and initiatives. Essential: • Strong administrative experience in an educational setting, • Ability to work calmly under pressure, prioritising work and meeting deadlines, • Excellent computer skills, • Attention to detail and record-keeping, • Pro-active and ‘can-do’ attitude, • Clear interpersonal and communication skills Desirable: • Experience working with international participants and students, • Good understanding of short course programmes, university summer schools, university teacher training, academic writing in Higher Education context, • Good knowledge of Oxbridge system and tutorial teaching Benefits: • Dining rights and lunch allowance at our workplace canteen when open on the days you are in the office, with a cap of £10 daily spend (amounting to over £2,000 annually), • Company Events including Dinners, Social Activities.
