Events Co-ordinator | Fairholme Studio | London • Location: Vauxhall, London UK, • Reporting to: Senior Events Producer & Events Producer, • Working full time, hybrid split between our Vauxhall studio and work-from-home where approved by line manager, • Hours: (9am - 5:30pm with one hour lunch break) occasional evening and weekend hours may be required for events TOIL will be given, • Contract: Full Time, 3 months probation, • Start Date: ASAP (considering any current notice periods), • Full-time, £26K - £30K (Depending on experience) The Role: Fairholme Studio is looking for a highly-organised and creative Events Co-ordinator to join the team, supporting with delivering exciting creative projects, events and campaigns for a diverse mix of clients across the beauty, lifestyle, retail and fashion industries in London, regionally in the UK, across Europe and in the US. This is a fantastic opportunity to work closely & support the Senior Events Producer and Events Producer, assisting with the planning and execution of some of our most high-profile events and creative projects The role is varied and hands-on, from venue research, sourcing styling pieces for brand dinners and coordinating florists and other suppliers for event installations, to booking videographers, photographers and content creators to capture launch events. You will support the team with supplier coordination, logistics and planning in the lead up to events, as well as assisting with budgets & helping to bring creative ideas to life on the day. We would like to hear from candidates who have 2 years minimum background in a production or events role, with experience in brand campaigns, events or projects. What you'll do: • Source styling items such as props, furniture and production elements to support the creative direction of events., • Coordinate suppliers including florists, stylists, photographers, videographers and content creators., • Support with planning and logistics in the lead up to events, helping ensure all elements are organised and delivered on time., • Attend site visits with clients and suppliers to review venue layouts, dimensions, access requirements, build logistics and health and safety considerations., • Support the team on site at events when required, ensuring the event is delivered in line with the creative brief. This may occasionally include evening or weekend work., • Coordinate the shipment and delivery of event items, working with couriers to ensure everything arrives safely and on schedule and is accounted for after the event., • Help maintain an organised workspace before and after events, including packing and unpacking styling items, coordinating returns and booking freelancers or crew where needed to support logistics., • Manage smaller projects with the support of the Senior Events Producer or Events Producer., • Support the Senior Events Producer or Events Producer on larger projects, taking ownership of key elements to help bring the event to life., • Support with budget tracking, updating costs, liaising with suppliers and working with the accounts team to help keep project finances on track., • Prepare and maintain production documents, including production books for smaller projects and supporting documentation for larger projects., • Support client communication, including emails, meeting coordination and sharing clear meeting notes with the team and clients., • Maintain and update the venues and suppliers database, ensuring contact details, previous quotes and timeline examples are accurate and easy to access., • Support the creation of RAMS and health and safety documentation with guidance from the team., • Support the project delivery team throughout all stages of events including planning, launch, derig, post-production and administration. About you: • 2–3 years’ experience in an events, production or project coordination role., • Highly organised and proactive, with the ability to prioritise tasks and manage time effectively to meet deadlines., • A practical problem solver who can support project managers to ensure events, creative mailers and campaigns run smoothly., • A strong team player who enjoys working collaboratively with colleagues, suppliers and clients., • Excellent attention to detail, particularly when researching, sourcing, negotiating and purchasing items for events., • Confident in communicating with suppliers and managing multiple moving parts across a project., • Able to stay calm and organised in a fast-paced environment and adapt quickly when plans change., • An interest in trends across events, brand activations, retail and culture, with enthusiasm for attending industry events, pop-ups and exhibitions with the team. Over his 5 year stint at the beauty giant, Tony worked on the UK and Ireland communications as well as events for press, influencers and consumers. Tony also worked closely with Bobbi herself on a number of projects, and worked at Fashion, Beauty and Lifestyle PR agency; Aisle 8, where he headed up the events and special projects division. He then worked for two leading events agencies in London to gain further experience within production and creative, before setting up his own agency. Tony now owns Fairholme Studio Ltd, a creative agency specialising in events, consultancy, visual merchandising, campaigns, creative mailers and more. Fairholme Studio has worked on over 750 projects since launching in 2021, including clients such as: RARE Beauty, SPACE NK, L’Oreal Groupe, Estée Lauder Companies, KIKO, Kiehl's, NIP + FAB, Blank Street, Missoma and many more. During the pandemic Tony created a line of hand-dipped taper candles, sold exclusively in Liberty London.
