Job Description Job Title: HRIS & Payroll Systems Specialist (ADP) Location: Location: Huntsville, AL (Hybrid Considered) Job Summary Onyx is seeking an experienced HRIS & Payroll Systems Specialist to manage, optimize, and support our ADP HRIS and multi-state payroll operations. This role plays a critical part in ensuring accurate payroll processing, compliant workforce data, and audit-ready HR systems in a government contracting environment. The Specialist will partner with HR, Finance, IT, and leadership to support operational excellence, regulatory compliance, and data-driven decision-making while continuously improving system functionality and internal controls. Key Responsibilities • Administer and maintain day-to-day operations of the ADP HRIS and multi-state payroll systems, including configuration, data integrity, system security, and troubleshooting., • Process end-to-end multi-state payroll within ADP, ensuring accurate wages, deductions, garnishments, and tax withholdings in compliance with federal, state, and local regulations., • Maintain compliance with wage and hour laws, state-specific payroll requirements, and tax regulations, including support for state registrations, filings, and year-end processing (W-2s, audits, etc.)., • Ensure employee data accuracy across HRIS and payroll modules, including job classifications, compensation, timekeeping, benefits, and labor distribution., • Reconcile payroll data, review payroll and tax reports, and resolve discrepancies in coordination with HR and Finance., • Serve as the primary point of contact for HRIS and payroll inquiries, audits, and compliance reviews, providing timely resolution and documentation., • Develop, document, and maintain HRIS and payroll procedures, workflows, and internal controls to support audit readiness and consistent system usage., • Support compliance with government contracting requirements, including labor cost accuracy, timekeeping integrity, and documentation supporting DCAA, DCMA, or similar audits., • Partner with HR, Finance, and Program Management to support labor reporting, cost allocations, budgeting, and forecasting in accordance with contract requirements., • Coordinate with IT, Finance, and external vendors to support system upgrades, integrations, payroll changes, and enhancements., • Provide training and ongoing support to HR users and managers on ADP HRIS and payroll functionality, internal controls, and best practices., • Generate standard and ad hoc HR and payroll reports, metrics, and dashboards to support compliance, audits, and workforce planning., • Conduct routine audits and data validation checks to ensure payroll accuracy, proper employee classification, and compliance with internal policies and contract requirements., • Maintain strict confidentiality and ensure compliance with data privacy, security, and record retention standards., • Support HRIS and payroll-related projects, including implementations, automation initiatives, and continuous process improvements., • Proven experience administering HRIS and multi-state payroll, preferably in a government contracting or highly regulated environment., • Hands-on experience with ADP Workforce Now or similar ADP platforms, including payroll, timekeeping, and reporting modules., • Strong understanding of HR processes, payroll operations, and multi-state compliance requirements., • Experience supporting payroll audits, labor cost reporting, and compliance reviews (e.g., DCAA/DCMA or equivalent)., • Demonstrated experience with payroll reconciliations, tax filings, and year-end processes across multiple states., • Experience supporting HRIS and payroll implementations, upgrades, and system integrations., • Advanced analytical skills with the ability to interpret and present HR and payroll data clearly and accurately., • Proficiency in Microsoft Suite and HR/payroll reporting tools (ADP reporting, Tableau, or similar platforms)., • Working knowledge of wage and hour laws, government contracting compliance, and data privacy standards., • Strong technical aptitude and problem-solving skills., • Exceptional attention to detail, accuracy, and documentation., • Excellent communication and interpersonal skills, with the ability to collaborate across departments and with external auditors., • Strong organizational and time-management skills, with the ability to manage competing priorities and strict payroll deadlines., • Self-directed, collaborative, and adaptable in a fast-paced environment., • Bachelor’s degree in Human Resources, Information Systems, Accounting, or a related field preferred.
