About STAX STAX is helping transform the maritime industry through innovative emissions capture technology that improves air quality and reduces environmental impact at ports throughout California. We are seeking a Regulatory Administrator to support our regulatory, environmental compliance, and administrative operations in the Los Angeles / Long Beach region. This role is ideal for someone who is highly organized, detail-oriented, comfortable working with technical and regulatory information, and able to keep critical compliance processes moving in a fast-paced operational environment. The Regulatory Administrator will help support documentation, reporting, permit tracking, agency coordination, compliance records, and internal follow-up related to STAXs Emission Reduction as a Service (ERaaS) system. This position is ideal for someone who enjoys working behind the scenes to ensure regulatory accuracy, operational compliance, and strong communication between internal teams, external agencies, and project stakeholders. Key Responsibilities • Maintain, organize, and track regulatory, environmental, permit, and compliance-related documentation., • Support the preparation, review, and submission of reports, applications, forms, renewals, and agency correspondence., • Track regulatory deadlines, permit requirements, reporting timelines, and compliance deliverables to ensure timely completion., • Assist with maintaining internal compliance calendars, logs, spreadsheets, shared files, and documentation systems., • Coordinate with internal departments including Operations, Engineering, Safety, Environmental, and Leadership to gather required information and follow up on outstanding items., • Support communication with external agencies, port partners, vendors, consultants, and other regulatory stakeholders as needed., • Review documents for accuracy, completeness, formatting, consistency, and compliance with internal standards., • Maintain detailed records of submissions, approvals, revisions, agency requests, and compliance-related communications., • Assist with audits, inspections, site visits, data requests, and regulatory inquiries by organizing supporting documentation., • Help identify gaps, missing information, upcoming deadlines, or process improvements related to compliance administration., • Support internal process development for regulatory tracking, document control, and reporting workflows., • Maintain confidentiality and professionalism when handling sensitive company, operational, and regulatory information. What We're Looking For: • Experience supporting regulatory, environmental, compliance, permitting, administrative, project coordination, or technical documentation functions., • Strong attention to detail and the ability to work with complex documents, reports, deadlines, and data., • Ability to manage multiple priorities, track follow-ups, and keep information organized across departments., • Strong written and verbal communication skills., • Comfortable communicating with internal teams, external partners, consultants, and regulatory agencies., • Experience maintaining spreadsheets, logs, trackers, shared drives, compliance calendars, or document control systems., • Ability to understand and work with technical, environmental, operational, or regulatory information., • Strong follow-through and ability to independently manage assigned tasks from start to finish., • Ability to work in a fast-paced environment where priorities may shift based on operational or regulatory needs., • Professional judgment, discretion, and accountability when handling sensitive documentation and agency-related matters. Preferred Qualifications: • Experience in environmental compliance, air quality, emissions, maritime, port operations, industrial operations, utilities, transportation, construction, engineering, or public agency environments., • Familiarity with regulatory agencies, permitting processes, environmental reporting, compliance documentation, or inspection support., • Experience working with agencies such as CARB, AQMD/SCAQMD, EPA, ports, or other environmental/regulatory bodies is highly preferred., • Experience supporting compliance for air quality, emissions reduction, environmental permitting, or industrial operations., • Strong Microsoft Office, Google Workspace, Adobe, and spreadsheet skills., • Experience with document control, regulatory tracking, compliance databases, project management tools, or shared file systems., • Bachelors degree in Environmental Science, Public Administration, Business Administration, Regulatory Affairs, Environmental Studies, Sustainability, Engineering, or a related field preferred; equivalent hands-on experience may be considered. Physical Requirements: This is primarily an administrative and coordination-based role that may require occasional operational or site-related support, including: • Sitting, typing, reviewing documents, and working at a computer for extended periods., • Occasionally walking through port, industrial, or operational environments., • Attending meetings, site visits, inspections, or agency-related activities as needed., • Ability to lift or carry files, binders, office materials, or light equipment as needed., • Ability to work in an office and/or operational environment depending on business needs. Travel: Primary assignment will support the Los Angeles / Long Beach region. Occasional travel to ports, agency meetings, company offices, or other California locations may be required based on business needs.
