Job Description Position Summary The Director of Operations will serve as a key operational leader for a growing financial advisory practice. This individual will oversee business operations, advisor coordination, pipeline management, client service processes, and internal systems to help the business scale efficiently. This role is ideal for a highly organized, data-driven, people-oriented operations professional who understands sales pipelines, advisor support, client service, and the importance of moving opportunities through a structured process. The right person will be a strong communicator and leader who can work with entrepreneurial financial advisors, identify bottlenecks, ask the right questions, and keep business activity moving forward. The business currently supports a network of 14 financial advisors and leverages additional internal consulting resources. The advisors operate entrepreneurially and are not direct employees, so this role requires strong influencing skills, relationship management, and the ability to lead without direct authority. About the Business The founder has been a solo practitioner since 2013 and has grown the business through organic growth and acquisition, including purchasing her first book of business and acquiring four additional books since then. The business is positioned for continued growth, with plans to acquire additional businesses and expand advisor support. The practice has access to a team of internal consultants across areas such as portfolio investments, technology, operations, training, and business development. These resources create a significant infrastructure advantage while allowing the business to remain entrepreneurial and growth-focused. The founder’s unique strength is working directly with high-value clients and focusing on strategic growth. This role will allow her to spend more time with clients and acquisition opportunities by taking ownership of day-to-day operations, advisor coordination, and pipeline oversight. Key Responsibilities Operations Leadership • Lead day-to-day operations for the financial advisory practice., • Oversee business processes, workflows, systems, and operating rhythms across the advisor network., • Create structure, accountability, and consistency while supporting an entrepreneurial advisor environment., • Identify operational gaps, inefficiencies, and bottlenecks, and recommend practical solutions., • Partner closely with the founder to provide high-level updates, manage priorities, and reduce operational burden., • Help support the continued growth of the business through acquisitions, advisor support, and scalable processes. Advisor Coordination & Relationship Management • Serve as the primary liaison for approximately 14 financial advisors., • Build strong working relationships with advisors who operate as entrepreneurs., • Lead through influence, communication, and trust rather than direct authority., • Ensure advisors are supported, informed, and accountable to pipeline and client service expectations., • Facilitate conversations with advisors regarding pipeline progress, lead follow-up, client needs, and business development activity., • Ask thoughtful, data-driven questions to understand what is working, what is not working, and where support is needed. Pipeline & Lead Management • Oversee multiple advisor pipelines and lead sources., • Monitor approximately 14 different advisor pipelines within Salesforce., • Track leads from multiple funnels and lead sources, ensuring opportunities continue moving through the pipeline., • Review pipeline activity, scheduled meetings, follow-up actions, conversion progress, and stalled opportunities., • Identify bottlenecks and work with advisors to address issues., • Analyze pipeline data by client type, asset size, revenue size, need, and opportunity stage., • Ensure business development meetings, advisor follow-ups, and client opportunities are managed effectively. Systems & Data • Use Salesforce CRM to monitor advisor activity, pipeline movement, lead status, and client opportunity data., • Leverage data and reporting to guide conversations with advisors., • Maintain visibility into key business metrics, lead sources, advisor performance, and client segmentation., • Use tools such as decision maps, client matrices, and business exit strategy frameworks to support advisor planning., • Partner with technology resources, including fractional CTO support, to improve systems, AI tools, and workflow efficiency., • Learn and utilize available training resources, consultant support, and internal knowledge databases. Client Service & Team Support • Help ensure each advisor has appropriate service support as needed., • Partner with executive administrative and client coordination resources to support client service excellence., • Help create processes that improve the client experience and advisor responsiveness., • Support the founder’s ability to focus on select high-value clients and strategic growth initiatives., • Coordinate communication between advisors, service assistants, internal support teams, and leadership. Growth & Acquisitions • Support future business acquisitions by helping integrate operations, advisor relationships, clients, and systems., • Assist with planning and execution related to new books of business., • Help standardize processes that allow the business to scale., • Work with leadership to ensure new business opportunities are properly tracked, assigned, and followed through. Ideal Candidate Profile The ideal candidate is a seasoned operations leader who enjoys structure, systems, people, and sales process management. This person should be energized by pipeline oversight, advisor coordination, data analysis, and helping a founder scale a growing business. This is not a “clock-in, clock-out” role. The right person will be self-directed, proactive, mature, and able to operate with a high level of ownership and trust. The ideal candidate will be: • A strong operations leader with experience managing business processes and people., • Comfortable working with high-performing, entrepreneurial advisors or sales professionals., • Skilled at leading through influence rather than authority., • Highly organized and able to manage significant volume across multiple pipelines and stakeholders., • Data-driven and able to use CRM insights to ask the right questions., • A strong communicator who can have direct, productive conversations with advisors., • A natural problem solver who looks for process improvements and removes bottlenecks., • Relationship-oriented with strong people skills and executive presence., • Comfortable supporting a founder or senior leader in a fast-moving, growth-oriented business., • Motivated by long-term impact and interested in becoming a key operational partner. Required Qualifications • Proven experience in operations leadership, business operations, sales operations, advisor support, or a similar role., • Leadership experience required., • Experience managing or supporting sales pipelines, business development activity, or advisor/client service processes., • Strong CRM experience; Salesforce experience preferred., • Strong communication, relationship management, and influencing skills., • Ability to analyze data, identify trends, and ask strategic questions., • Experience working with financial advisors, wealth management, insurance, financial services, or professional services is strongly preferred., • Ability to work with entrepreneurial professionals and help create accountability without micromanaging., • Strong organizational skills and ability to manage high volume across multiple stakeholders., • Comfortable working independently and providing concise, high-level updates to leadership. Preferred Background • Prior experience as an Operations Manager, Director of Operations, Sales Operations Leader, Practice Manager, or similar role., • Experience in financial services, wealth management, insurance, advisory, or investment-related environments., • Familiarity with advisor business models, client acquisition, lead funnels, pipeline management, and service support., • Salesforce experience., • Experience supporting business acquisitions or book-of-business transitions., • Experience working with high-performing sales professionals or advisors., • Background with organizations such as New York Life, MassMutual, Goldman Sachs, or similar financial services firms is a plus. Work Location & Schedule • Location: Brightstone Building near the Galleria area., • The founder is typically in the office approximately once per week., • Work arrangement may depend on the candidate’s experience, productivity, and ability to operate independently., • The ideal candidate may be based anywhere in the United States, though local presence or availability to be in-office as needed may be preferred., • Flexibility may be available for the right senior-level candidate.
