Job Description Purpose: The Deep Ellum Public Improvement District is Dallas’ largest and most robust mixed-use entertainment district with a rich 150-year cultural history. As the primary staff member of the Deep Ellum Foundation focused upon bookkeeping and office operations, the Finance and Executive Relations Manager plays a vital role in supporting our organization as it continues to grow and advancing the inimitable Deep Ellum Cultural District as a whole. The Manager supports the mission of the Deep Ellum Foundation through providing executive support to the Executive Director and administrative support across the organization, as well as overseeing office operations, payroll and financials. In addition, the Coordinator supports organization-wide efforts aligning with the Deep Ellum PID Strategic Plan. Position Details: • Full-Time, • Core hours: 9:00am – 5:00pm, Monday – Friday, in office. Some flexibility in hours. A minor requirement to attend stakeholder meetings and meet with businesses outside the core hour., • Reports to the Executive Director, The Deep Ellum Foundation., • Location: 2528 Elm Street, Dallas, TX, • Benefits include 401k retirement plan with matching opportunity, healthcare, opportunity for performance-based bonuses. Responsibilities: ● Financial Management o Oversee all aspects of day-to-day bookkeeping for the organization utilizing QuickBooks. o Manage, track and document all payables and receipts for the organization, including sending and receiving invoices; including check, wire and ACH payments, as well as staff receipts and reimbursements. o Manage and run payroll on a bimonthly basis. o Work with the Executive Director and other staff to update and improve administrative and bookkeeping processes and procedures. o Review and fact-check accounting data on a monthly and quarterly basis, notifying Executive Director and accounting contractor of errors. o Assist contracted accounting team with preparing annual nonprofit audit. o Assist Executive Director with completing compliance requirements of City, State and Federal partners as well as other financial reports as needed. ● Administrative & Operational Management o Maintain and ensure confidentiality and security of all files, documents, accounting systems and filing systems. o Contact Lists Development & Maintenance: Continuously develop, update and maintain detailed business contact list as well as various stakeholder communications listservs. o Record Keeping: Track and maintain records of relevant stakeholder information such as business openings and anniversaries, contributions, and concerns. o Serve as the primary point of contact answering the office phone line. o Greet visitors and serve as a welcome receptionist, as needed, at the Deep Ellum Community Center at 2528 Elm Street, Suite A. o Coordinate meetings and appointments as needed. o Prepare communications such as emails, invoices, letters, briefing reports and other correspondence. o Create and maintain spreadsheets, filing systems and other organizational systems (both electronic and physical). o Oversee all incoming and outgoing mail, including by conducting weekly visits to the organization PO Box. Conduct regular bank visits. o Oversee office supplies and inventory, ensuring adequate levels of necessary supplies at all times including computers, tablets, paper goods, writing implements, organizing tools, etc. o Operate printer, fax machine, AV equipment necessary for meetings, and other equipment as required. Troubleshoot and address issues with office equipment and supplies. o Assist in other office administration tasks and other duties which may arise that benefit the Deep Ellum Foundation mission including, but not limited to, attending events and meetings, addressing questions and concerns from local stakeholders, and coordinating meetings and materials preparation. ● Executive Support o Project Support: Assist with various projects, conducting research, coordinating with contractors and partners, and compiling data as needed. o Meeting Coordination: Prepare agendas, take meeting minutes, and follow up on action items. Ensure all necessary materials are available for meetings. o Documentation: Draft, edit, and proofread correspondence, reports, and presentations. Maintain filing systems and databases. o Board of Directors and Committees coordination: schedule and prepare materials for meetings, write meeting minutes, note and spearhead follow ups on meeting action items, and conduct ongoing communications to address board and committee member needs, questions, and concerns. o Communication: Serve as a point of contact between the Executive Director and internal/external stakeholders, assisting with emails, calls, and correspondence. Prepare communications such as emails, letters, briefing reports and other correspondence. ● Perform other duties as assigned Qualifications: ● Bachelor’s degree or commensurate experience in fields including in Accounting, Business, Math or Economics. Alternately, an Associate’s Degree and 5 years of experience or 7 years of experience preferred. ● Three years or more of experience working in bookkeeping or a related field such as business or office administration. Experience and training in Quickbooks strongly preferred. Experience with ADP desired. ● Experience in executive administration and support is beneficial. ● Excellent organizational and planning skills ● Ability to meet hard deadlines as well as strong time-management skills. ● Strong written and oral communicator. Strong listening, comprehension and synthesis skills. ● Detail-oriented with skills in data-entry, payroll accounting, and filing. ● Ability to independently manage multiple projects, to be flexible and multi-task priorities in response to the demands of the daily activities of the organization. ● Resourcefulness in securing and deploying resources effectively and efficiently. ● Well-developed customer service skills, tact, professional demeanor and the ability to communicate effectively with individuals at all levels of organization including board members, civic leaders, property owners, business owners, public officials, media, residents, and volunteers as well as the general public. ● Eagerness to create systems and policies to streamline day-to-day operations. ● High levels of passion, integrity and energy! ● Interest in Deep Ellum specifically is beneficial.
