Job DescriptionSalary: Job Title: Maintenance Planner Reports To: Equipment Division Manager Job Description: Performs a variety of maintenance planning and scheduling tasks to support safe, reliable, and efficient terminal operations. Develops and coordinates routine, preventive, predictive, and corrective maintenance schedules for equipment and machinery to ensure optimal performance, minimal downtime, and minimal operational impact. Maintains scheduling tools and progress measurement systems. Prepares reports for management related to maintenance performance, costs, manpower, and backlog. Tracks and monitors repair costs and identifies variances to budgeted maintenance plans. Issues work orders and assist in invoice reviews and payment approvals. Summarizes monthly progress information and manpower requirements by rolling up contractor data. Participates in meetings with Operations, Maintenance, and Reliability teams to review daily and weekly work schedules, priorities, and backlogs. Identifies safety, communication, and permitting requirements for all planned maintenance tasks. Prepares area coordination schedules as required to support operational continuity. Essential Functions: • Responsible for initial screening of incoming work orders to identify scope and determine the required level of planning., • Conducts field reviews of corrective work orders to identify, document, and validate job requirements for proper planning and execution., • Evaluates and identifies specific safety hazards associated with planned work and ensures adherence to company safety policies, procedures, and HSSE requirements., • Estimates required labor hours, total work order duration, and skills needed to perform corrective and preventive maintenance tasks., • Plans maintenance jobs with an appropriate level of detail for the assigned skilled labor and contractors., • Gathers and reviews necessary engineering and technical documents, specifications, manuals, and drawings., • Determines and arranges for parts, materials, tools, and special equipment required to perform work., • Plans parts and materials for all corrective work to maximize efficiency and increase overall wrench time., • Creates and delivers work orders to skilled labor in conjunction with the weekly corrective and preventive maintenance schedules., • Communicates with skilled labor upon job completion to capture feedback, lessons learned, and improvement opportunities for future work., • Coordinates maintenance priorities as set by management and the reliability group, with specific emphasis on collaboration with Operations and Facility teams., • Maintains and accurately measures EAM corrective work orders and ensures planned and ready-for-work backlog does not exceed 30 days from the Target Completion Date (TCD)., • Ensures all work orders, maintenance details, labor hours, and material usage are accurately entered and closed in the EAM system upon completion., • Communicates performance expectations, work scope, and technical requirements for contractor-assigned work and verifies work quality upon completion., • Participates with reliability teams on improvement initiatives, particularly those associated with Proactive Maintenance Plans (PM/PDM)., • Obtains all scheduled PM work orders upon completion, logs deficiencies and findings, generates follow-up work orders as required, and completes documentation in the EAM system., • Obtains, reviews, and files all associated PM support documentation, inspection reports, and IR photos/scans in designated folders., • Reviews and analyzes all supporting documentation and IR findings to identify deficiencies requiring follow-up action., • Supports long-term asset maintenance planning, equipment upgrades, improvements, and budget development as assigned., • Performs other related duties and project tasks as assigned. Education and Work Experience: • Associates degree in Mechanical Engineering, Business, or a related technical field preferred; or equivalent combination of education and experience., • Minimum of 35 years of experience in a high-volume maintenance or industrial environment., • Experience with an Enterprise Asset Management (EAM) system required., • Strong electrical and mechanical technical aptitude required., • Previous supervisory or lead experience is desirable., • Experience working with unionized labor environments preferred (e.g., ILA, ILWU, Teamsters). Knowledge, Skills and Abilities: • Strong organizational and planning skills with the ability to manage multiple priorities., • Goal-oriented mindset with strong problem-solving and analytical skills., • Proficiency in Microsoft Office applications including Excel, Word, Outlook, PowerPoint, and Teams., • Ability to efficiently perform research using internet and technical resources., • Ability to read, interpret, and apply vendor manuals, engineering drawings, blueprints, and schematic diagrams., • Effective verbal and written communication skills with the ability to work collaboratively with operations, maintenance personnel, contractors, vendors, suppliers, and management., • Ability to write clear and detailed maintenance and repair documentation., • Strong commitment to safety, teamwork, and continuous improvement., • Highly motivated, self-directed, and able to work with minimal supervision., • Good working knowledge of OSHA safety practices and procedures., • Demonstrated ability to make independent decisions within established guidelines., • Flexible and adaptable to changing priorities, workloads, and operational needs., • Demonstrated ability to proactively identify problems and lead resolution efforts related to equipment reliability.
