What You’ll Do Reporting directly to the Director of Operations, the Facility Services Manager is responsible for planning and coordinating the upkeep of all interior property cleanliness. They are responsible for the management of the Facility Services Department and their staff. They will be responsible for supervising the overall janitorial and housekeeping care of the Audubon Aquarium and Insectarium, and Audubon Woldenberg Riverfront Park. This position requires supervising a minimum of ten or more employees, having previous experience in recruitment and maintaining the inventory and bookkeeping system for the departments as well as experience in detailed maintenance of multi-surface floors and walls. Day to Day Responsibilities • Provide a guest experience of outstanding quality (required), • Directly supervises in-house cleaning projects, carpet maintenance, floor care and daily general upkeep of the Downtown Audubon facilities., • Supervises and coordinates staff in project planning and execution., • Schedule and coordinate evening project team to meet camera ready standards for all downtown facilities., • Administers and tracks budget and goal performance while controlling material overhead., • Inspects all equipment for safe and dependable operation, scheduling repairs when needed and submits reports as needed to the Director of Operations, • Plan work of self and departments on a weekly basis, incorporating schedule review, project work list and other factors as needed., • Conduct monthly departmental meetings and generate meeting notes to the staff and Director of Operations. Conduct one on one meetings with the supervisors and line staff at minimum on a quarterly basis. Complete annual employee performance reports., • Prepare purchase orders, check requisitions and use his/her P-Card as designated by A.N.I. policy to purchase needed material and products, using resources of the Purchasing Department when needed., • Develop and administer the department’s annual goals., • Maintains own time records and schedule the work of those staff supervised and authorizes their time sheets., • Recruits and interviews applicants, • Conducting monthly meetings with the Director of Operations to review departmental goals and objectives, as well as including, project updates. The Fundraising Events Manager reports to the Sr. Director of Fundraising Events and supports the planning for and manages the day-to-day execution of The National WWII Museum’s fundraising events, including the American Spirit Awards, the Victory Ball, Museum grand openings, Young Benefactor social events, special dedication ceremonies, Charter and Patriot Circle Membership events, Brick & Tributes ceremonies, Museum donor cultivation/recognition events, and other special events/projects. What You will Do The Staff Accountant will assist the Director of Finance with the day-to-day operations of the Finance Department. The position is responsible for performing monthly journal entries, account reconciliations, and account analyses. The position will also assist with the managing of financial reporting, internal control structure design and compliance, budget preparation and reporting, cash flow, short-term investments, and auditor relations (external, IRS, sales tax). Day to Day Responsibilities (Limit to most important/top 10 duties if possible) • Record monthly journal entries including Sage- depreciation entries., • Process monthly Sales Tax., • Complete account reconciliations and account analyses., • Coordinate the reconciliation and upload of the ticketing system revenue to the general ledger., • Ensure that billing and collection efforts are effective., • Ensure that underlying accounting records support the preparation of accurate, timely, financial statements., • Assist with conducting all audits - IRS audits, external audits, etc. Responds to comments and other audit matters., • Supervise Accounting Clerk., • Reconcile monthly endowment investment statements., • Reconcile pledges receivable quarterly., • Manage restricted balances quarterly, including restricted contributions, and releasing funds when appropriate., • Participate in the annual budget process., • Provide leadership in the office by setting high standards for quality and timeliness, while maintaining flexibility in dealing with employees.
