Job Description Organization Overview Family & Child Empowerment Services (FACES) provides families who live and work in San Francisco with high-quality early childhood education and enrichment; job support, training, and placement; and comprehensive family support services and referrals. Position Summary As the Operations Coordinator, you are an integrity driven person at the center of the day-to-day operations and activities at the Bayview Child Development Center. Primary Responsibilities * Provide general administrative support including receiving and greeting all visitors, taking on complex copying jobs, front desk reception, and routing center mail and deliveries. * Communicate with school staff, outside agencies, and parents and families to share information, request and provide materials, resolve issues or concerns (via Learning Genie) or other forms of communication. * Establish and maintain confidential files/records, including student enrollment, attendance, and contact data. * Complete data entry required for government grant compliance (student attendance, meal counts). * With the Site Supervisor’s, schedule and maintain relationships with substitute teacher vendor agencies and manage scheduling and canceling of subs. * Coordinate and maintain a schedule, with the Site Supervisor’s, for appropriate classroom coverage including managing breaks and transition times. * Along the Site Supervisor’s, support center safety including leading emergency response drills and monitoring emergency supply inventory. * Schedule, coordinate, and monitor contractors and vendors for repairs and ongoing maintenance in partnership with the Director of Operations and Facilities. * Maintain the overall appearance and functionality of the school environment, including decorating for events, keeping bulletin boards updated, and general upkeep of shared spaces such as entrances and the staff lounge, while consistently prioritizing safety. * Assist with planning, advertising, and hosting student and family events. * Assist with school-wide communication, including newsletters, flyers, and brochures. * Manage centralized inventory of supplies and materials and order center supplies as needed. * In partnership with the enrollment department, assist with new family orientations and enrollment process including scheduling intakes, participating in educating families on center-based systems. * Work closely with our partners to maintain compliance and complete monthly reports. * Identify gaps in operations work and develop systems to support efficiency and sustainability Minimum Qualifications: You have a solid mix of the following knowledge, ability, skills and experience: * 2-3 years of experience working in a bustling, high energy and dynamic collaborative office environment (school-based environment a plus). * Bilingual (Spanish/English) preferred * Ability to exercise good judgment and discretion in handling confidential materials and matters. * Strong organizational skills and attention to details; ability to work accurately, independently and manage multiple projects effectively. * Ability to frequently lift a range of weight from ten (10) to forty (40) pounds * Ability to relate and communicate to individuals from diverse ethnic, cultural and socioeconomic backgrounds and to work with them in a fair, supportive and cooperative manner. * Proficient in computer navigation, communication, MS Office and client database systems * Ability to meet and maintain required state, federal, local, and CDC standards (including but not limited to fingerprint clearance, negative TB test, First Aid, CPR) * A deep commitment to aligning all program practices to FACES values, especially around equity, inclusion, and belonging for all our stakeholder * Strong passion for and a desire to humbly reflect and grow in pursuit of our mission * A sense of humor- we believe joy and justice go hand in hand!
