We’re hiring: Administrative & Office Operations Coordinator Sail AI | Richardson / Dallas-Fort Worth, TX Full-time Work Schedule: Monday–Friday, 9:00 AM–4:00 PM in office; Friday, 9:00 AM–4:00 PM remote Compensation: Depending on experience and fit Sail AI is looking for a highly organized, dependable, operations-minded professional to help manage internal workflows, business administration, team coordination, and office operations in a growing tech startup. This is not just a clerical role. We are looking for someone practical, detail-oriented, proactive, and comfortable helping keep the business organized and running smoothly across day-to-day operations, documentation, invoicing, internal coordination, vendor follow-up, administrative workflows, and software-based business tools. This role does require someone who is comfortable working inside company software platforms and handling responsibilities that may involve administrative access, system organization, account coordination, records management, and careful handling of operational information. What you’ll help with • Coordinate day-to-day office and administrative operations, • Help track internal tasks, deadlines, follow-ups, and recurring business needs, • Support invoicing, billing follow-up, expense tracking, and recordkeeping, • Organize files, documents, internal records, and company materials, • Assist with vendor communication, orders, supplies, and office-related logistics, • Help maintain clear documentation, checklists, and internal process organization, • Support team coordination across schedules, meetings, reminders, and action items, • Work within company tools and software platforms to help maintain organized records, workflows, and operational accuracy, • Help manage business accounts, permissions, settings, and administrative access across selected company platforms as needed, • Help keep information accurate, organized, and easy to access across the business, • Provide dependable general administrative and operational support to leadership What we’re looking for • Strong organization and follow-through, • Good judgment, reliability, and attention to detail, • Ability to manage multiple tasks without losing track of details, • Clear written and verbal communication, • Comfort working in a fast-moving startup environment, • Ability to take ownership of recurring tasks and keep them moving without constant follow-up, • Professionalism in handling business documents, communications, operational records, and account access, • Comfort using common business software, administrative tools, and online platforms, • Ability to learn new tools quickly and use them carefully and responsibly, • High level of trustworthiness when working with internal systems, account access, and sensitive business information Backgrounds that fit well • Administrative coordinator, • Office manager or assistant office manager, • Operations coordinator, • Executive assistant with operations responsibilities, • Business support or administrative operations roles, • Startup admin / operations generalist, • Candidates with familiarity using team and operations tools commonly used in software companies, such as Slack, Asana, Bitwarden, Google Workspace, and similar platforms, to help manage coordination, workflows, records, and administrative tasks Nice to have • Experience supporting a small business, startup, office, or fast-moving team, • Experience with invoicing, vendor coordination, document management, office logistics, or account administration, • Experience working inside platforms where accuracy, organization, and access control matter, • Experience helping improve internal organization and administrative processes If you are someone who likes keeping things organized, following through, supporting a team, and helping a growing business run smoothly through both people and tools, we’d love to hear from you.
