Job Description Senior Leave & Accommodations Administrator W2 Contract to Possible Hire Hybrid, Los Angeles, CA or Austin, TX $50-57/hr We are seeking an exceptional Senior Leave & Accommodations Administrator to lead and manage our organization’s leave of absence programs and workplace accommodation processes. In this highly visible role, you will serve as a trusted partner to employees, managers, and external vendors—delivering a compassionate, compliant, and seamless experience throughout every stage of the leave and accommodations lifecycle. This position is responsible for all functions related to LOA, STD, LTD, Workers’ Compensation, ADA Accommodations, COBRA, and Direct Billing. Key Responsibilities Leave Program Administration, ADA & Workplace Accommodations, and Workers’ Compensation • Administer and provide white glove service in collaboration with our third-party administrator across all employee leave programs, including but not limited to FMLA, CFRA, PDL, STD, LTD, military leave, personal/unpaid leave, and Workers’ Compensation., • Serve as the subject matter expert on federal, state, and local leave laws and company policies; guide employees and managers through the complete leave lifecycle., • Coordinate closely with third-party administrators, payroll, HR, and benefits teams to ensure accurate invoices, payments, and benefit continuation., • Maintain ongoing communication among employees, managers, HRBPs, and third-party vendors throughout each leave process., • Calculate employee salaries in conjunction with STD/LTD/State leave payments., • Lead the ADA interactive process, ensuring timely, confidential, and compliant handling of accommodation requests., • Ensure medical documentation is submitted timely and determine reasonable accommodations in collaboration with HRBPs and Legal as needed., • Manage return-to-work cases, modified duty assignments, and transitional work programs., • Administer and provide white glove service in partnership with brokers and vendors on all Workers’ Compensation cases from intake through return to work., • Accurately determine the appropriate type of leave and payment for each unique situation (e.g., FMLA vs. state leaves, STD/LTD vs. Workers’ Comp)., • Perform additional duties as assigned. Benefits Coordination & Compliance • Oversee COBRA processes and direct billing arrangements for employees on leave or in benefit transition., • Ensure accurate application of benefit premiums and salary continuation during leaves and benefit transitions., • Maintain full compliance with FMLA, ADA, HIPAA, ERISA, COBRA, and all applicable state and federal regulations., • Perform additional duties as assigned. Documentation & Reporting • Maintain comprehensive, accurate, and confidential case documentation., • Develop and manage reporting tools to monitor leave trends, compliance metrics, and accommodation outcomes., • Conduct audits and prepare relevant documentation for legal, compliance, or internal review. Stakeholder Support & Communication • Serve as the primary point of contact for employees, managers, HR partners, and external vendors regarding leave and accommodation matters., • Train HR teams and leaders on leave policies, accommodation protocols, and updates to applicable laws., • Resolve complex cases, escalations, and sensitive employee situations with empathy, confidentiality, and professionalism. Process Improvement • Review, audit, and document current processes, workflows, and team responsibilities., • Identify pain points across LOA and Accommodation processes by partnering with stakeholders and employees., • Recommend and lead improvements to enhance employee experience, streamline workflows, and increase operational efficiency., • Build SOPs and templates to reduce repetitive, manual tasks., • Partner with HRIS and vendor teams to optimize leave tracking, communication tools, and system integrations. Qualifications • Bachelor’s degree in Human Resources, Business Administration, or a related field., • 5+ years of hands-on experience managing complex leave and accommodations programs., • Strong working knowledge of federal and state leave laws, including FMLA, ADA, CFRA, STD, LTD, Workers’ Comp, COBRA, and HIPAA., • Experience managing third-party administrator and insurance carrier relationships., • Familiarity with HRIS systems (Workday, UKG, ADP, Dayforce, etc.) and leave management platforms., • Excellent communication, organizational, time management, and case management skills., • Ability to manage sensitive issues with discretion and professionalism., • HR certification (PHR, SPHR, SHRM-CP, or SHRM-SCP) preferred. Preferred Skills • Multi-state leave administration experience., • Strong analytical and reporting capabilities., • Proven ability to manage high-volume caseloads with accuracy and compliance., • Experience working in a large, complex, or matrixed organization.
