Position Overview: The School Administrative Lead plays a vital, hands-on role in the day-to-day operations of the school. This position is responsible for executing billing and invoicing tasks, organizing student records, onboarding new families, maintaining digital systems, and supporting communication with families and staff. The ideal candidate is detail-oriented, efficient, and proactive, with excellent organizational skills and a collaborative spirit. This role works closely with school leadership to ensure families and staff have the information and systems needed for smooth school functioning. Key Responsibilities: * Front Desk & Visitor Management: • Serve as the first point of contact for all visitors, families, and staff entering the school., • Monitor the front door throughout the school day, ensuring secure entry and exit of students and guests., • Greet families and guests warmly, answer incoming phone calls, and direct inquiries to appropriate staff members., • Respond to general questions about the school, schedule meetings, and manage sign-ins/sign-outs., • Provide intake forms and assist with documentation for new and current families., • Ensure the front desk area is clean, organized, and stocked with materials as needed., • Support arrival and dismissal logistics in collaboration with school staff., • Billing & Financial Tracking:, • Prepare and send invoices using QuickBooks Online and spreadsheets for school services., • Track incoming payments and follow up with families regarding overdue invoices., • Record and maintain billable staff hours related to service delivery and support internal reporting., • Ensure all billing and financial records are current and organized., • Student Records & Documentation:, • Maintain and update student folders (physical and digital), ensuring completeness and accuracy., • Follow up with families and providers for missing forms or documents., • Ensure all signed family contracts are collected and saved appropriately., • Notify school leadership of any new or required student services based on documentation., • New Family Onboarding:, • Manage the onboarding process for new families, including collecting paperwork, contracts, and intake forms., • Create and organize student files; guide families through their first steps with the school., • Collaborate with the Special Assistant to the Principal to schedule tours, screenings, and intake meetings., • Maintain consistent and supportive communication with new families., • Admissions & Scheduling Support:, • Track and respond to inquiries about school admissions and services., • Coordinate calendars with the Special Assistant to the Principal for school events, tours, and meetings., • Maintain communication with families regarding missing documents, upcoming meetings, and billing updates., • Google Drive & IT Organization:, • Maintain the structure and cleanliness of the schools Google Drive, ensuring documents are logically filed and accessible., • Monitor for issues with digital storage, file sharing, or access, and escalate to the COO or school leadership as needed., • Staff Time & Administrative Projects:, • Track employee service logs and time records for reporting and billing., • Support various administrative tasks and projects assigned by school leadership, including reporting, compliance documentation or other tasks as directed,, • Classroom Support:, • Assist in classrooms as needed during staff absences, transitions, or special activities and be part of the school crisis intervention team., • Provide supervision during lunch, recess, or field trips, ensuring student safety and engagement as needed., • Maintain flexibility and a team-oriented attitude to help meet student and classroom needs throughout the day. Physical Requirements and Essential Functions: • Ability to operate with frequent interruptions and moderate noise., • Ability to sit or stand for extended periods and lift up to 35 pounds., • Ability to lift, carry, and maneuver classroom furniture and equipment (up to 35 lbs)., • Ability to kneel, bend, and reach to retrieve files and supplies., • Daily use of computers, phones, and other standard office equipment., • Visual and auditory capacity to monitor front entry and communicate clearly in person and by phone., • Must be able to physically assist and de-escalate students using school-approved techniques (training provided)., • Maintain constant visual and auditory supervision of students when required., • Support students during transitions and physical activities, including running, kneeling, and sitting on the floor when required., • Must have or obtain First Aid/CPR certification. Qualifications: • Required: Bachelors or Master's Degree in related fields., • Minimum 2 years of experience working in school administration, billing, office management, or similar role., • Proficiency with Google Workspace (Docs, Sheets, Slides, Calendar, Drive), Microsoft Office, Adobe Acrobat and QuickBooks., • Strong attention to detail, excellent organization, and time management skills., • Clear and professional communication skills (written and verbal)., • Ability to handle confidential information responsibly and with discretion., • Positive, approachable demeanor with strong collaboration and customer service mindset., • Experience in a school or special education setting is highly preferred.
