Job Description Wipfli is assisting our client, Griffin Automotive Group, a family-owned dealership proudly serving Milwaukee and surrounding areas since 1998, with the recruitment and selection of an Office Manager for their Milwaukee location. Griffin Automotive Group is seeking a reliable and attentive Office Manager to oversee the dealership’s financial and administrative operations. This role acts as the central coordinator of the office – maintaining precise accounting records, reinforcing internal controls, and ensuring seamless communication across departments. The Office Manager leads office staff, supports the dealership accounting processes, manages cash flow and documents and ensures timely, accurate reporting to the Corporate Office. This integral role will uphold corporate standards and cultivate a professional, team-focused environment. Principal Duties and Responsibilities: • Manage daily accounting office operations, including accounts payable/receivable, payroll support, and month-end closings, • Oversee and support office staff: hiring, training, supervision, and workflow management, • Perform daily cash management tasks, including bank reconciliations and deposits, • Review and manage paperwork and deal flow from sales, service, and parts departments, • Maintain accurate and organized records for deals, commissions, inventory changes, and financial reports, • Ensure compliance with internal controls, dealership policies, and state/federal regulations, • Prepare and submit monthly financial statements and reporting as required, • Assist with special projects, audits, and operational improvements as assigned, • Serve as a point of contact between departments to streamline operations and resolve issues efficiently, • Oversee vehicle title processing, registration, lien releases, and DMV compliance, • Ensure timely and accurate sales tax, payroll tax, and regulatory filings, • Own and maintain accuracy of the dealership management system (DMS); train staff on proper use (accounting, title, registration), • Manage manufacturer (OEM) reporting, incentives, and audit support, • Administer some HR related processes, including onboarding paperwork for the business., • Coordinate external vendors, including payroll, benefits, accounting, and office service providers, • Support budgeting, expense monitoring, and cost control initiatives, • Oversee insurance administration, claim coordination, and risk management documentation, • Manage office facilities, equipment, supplies, and secure handling of cash and sensitive records, • Develop cross training and backup coverage within the office team to ensure continuity, • Provide daily leadership to office staff, • Coach and develop team members, providing training, feedback and skill growth, • Foster effective communication across departments, • Other duties as assigned. Knowledge, Skills, and Abilities: • Proven experience in office management or similar administrative roles, • Strong supervisory experience with the ability to lead a team effectively, • Excellent communication skills and organizational skills, • Experience in automotive office management is a plus, • Familiarity with schedule management, clerical duties, and filing systems, • Ability to manage multiple priorities in a fast-paced environment, • Strong phone etiquette and customer service skills Qualifications: • High school diploma required; Associate’s or bachelor’s degree in accounting, finance, or related field preferred, • 3+ years of experience in an automotive dealership office or accounting environment, • Strong knowledge of general accounting practices (AP/AR, GL, journal entries), • Experience standardizing processes, preferred, • Proficiency with dealership management systems (e.g., CDK) and Microsoft Office Suite (Word, Excel, Outlook), • Excellent organizational, communication, and interpersonal skills, • Ability to manage multiple priorities, meet deadlines, and maintain attention to detail, • Professional, solution-oriented, and able to work both independently and as part of a team If you are an enthusiastic leader who prides themselves on providing world class customer service and would like to learn more about this opportunity, please submit your resume via our client application portal.
