Job DescriptionSalary: $20 - $30/hr, depending on experience FMS Aerospace, a division of Bridger Aerospace, is currently seeking an experienced, full-time Facilities Administrator/Coordinator for our Huntsville office location. This position is subject to encompass multiple areas of assistance, as they arise. The successful candidate will be responsible for assisting with all things related to facilities and inner office/administrative needs. Main job functions include supporting the daily operations and coordinating maintenance activities, managing outside vendor & building services relationships, while ensuring safety and compliance, and providing general administrative support. This role helps keep the physical workplace functioning efficiently, safely, and smoothly for all employees. Key Responsibilities • Serve as the primary point of contact (POC) for facility issues, requests, and inquiries., • Monitor the condition of the facilities and coordinate repairs and/or maintenance as needed., • Oversee and supervise various facility needs and projects, as delegated., • Primary POC for outside subcontractors and vendors/companies that service any facility-related issues/needs/repairs needed for the campus (includes, but not limited to HVAC, plumbing, electrical, pest control, dumpsters, utilities, appliances, building repairs, permits, badging system, security gates, security cameras, etc., as delegated)., • Provide support to facility-related items for the Huntsville office location, which includes all 4 buildings on campus, an offsite manufacturing leased facility & offsite storage/hangar locations., • Conduct regular inspections to ensure cleanliness, safety, and proper functioning of building systems., • Ensure the facility complies with health, safety, and environmental regulations and is building code compliant., • Ensure adequate backstock of office consumables is maintained., • Assist with front office coverage when members of admin team are offsite, out of office, or unavailable. Facilities Operations Maintenance & Vendor Management • Schedule and oversee repairs, preventive maintenance on building systems, and service visits., • Manage vendor relationships, ensuring work is completed on time and within budget., • Ensure company vehicles and trailers are current on all service maintenance, vehicle registrations, tags, etc., • Ensure the facility complies with health, safety, and environmental regulations., • Assist with safety protocols, emergency preparedness plans, and evacuation procedures., • Monitor and restock safety and emergency supplies., • Maintain records of maintenance activities, permits, inspections, and invoices., • Manage inventory of supplies such as general office needs, cleaning products, and consumables., • Run errands to offload time-consuming offsite pickups/drop-offs (e.g., vendors, Sams Club runs, Wal-Mart runs, Costco runs, office supply orders., • Distribute incoming shipments to their respective departments as they are received., • Assist with budgeting and tracking facility-related expenses, • Support onboarding by arranging employee access badges and workspace/office setup, • Assist with space planning, seating assignments, and office moves as they arise. Required Qualifications • Minimum of a high school diploma, • Relevant experience in facilities support, vendor management, office management, or a related field, • Must be U.S. citizen, • Valid drivers license Required Skills • Strong organizational & multitasking abilities, • Strong interpersonal skills and the ability to work proficiently with remotely located employees as well as in a team environment, • Ability to troubleshoot issues and coordinate solutions, • Excellent communication and customer service skills, • Proficiency in English (written and spoken) Preferred Skills • Basic knowledge of building systems (HVAC, electrical, plumbing) is strongly preferred, • Proficiency with Microsoft Office and facility management software is a plus, • Forklift experience is a plus Working Conditions • Primarily onsite role, but involves occasional trips to offsite facilities as well, • Company vehicle will be utilized during working hours, as needed, • May require occasional lifting (up to ~50 lbs.), walking, or standing, • May require responding to urgent facility needs outside regular hours Expectations • Full-time position, 5 days per week; hours should be limited to 40 hours per week., • Hourly rate of pay will be $25-30/hour, paid biweekly.
