Job Purpose The First Impression Specialist plays a critical role in creating a welcoming and professional environment for all clients, guests, and vendors visiting our showroom. This position ensures the efficient daily operation of the showroom by providing administrative support, maintaining cleanliness and organization, and assisting the Showroom Manager and Sales Consultants. The Specialist represents the SPLASH brand and sets the tone for each guest's experience from the moment they walk through the door. Duties and Responsibilities • Customer Experience and Front Desk, • Professionally greet and welcome clients, guests, designers, and tradespeople, ensuring a positive and lasting first impression., • Qualify visitor needs by asking questions such as "What brings you in today?" or "What project are you working on?", • Direct or introduce guests to the appropriate salesperson or showroom area., • Engage visitors professionally when a salesperson is unavailable-offer coffee, literature, and small talk about their projects., • Check voicemails and relay messages promptly., • Reconfirm customer appointments for the following day/week and assist with scheduling., • Prepare handwritten thank-you notes on behalf of Sales Designers., • Protect and maintain the front desk and welcome center, ensuring these areas are always tidy, organized, and representative of the SPLASH brand. •, • Showroom Operations, • Open and close the showroom daily., • Turn on/off lights, TV/monitors, and music., • Take phones off "Night Ring" in the morning and reset at closing., • Lock showroom doors at closing., • Maintain a clean, inviting, and safe showroom environment throughout the day., • Walk around the showroom periodically to ensure displays, literature, and samples are in proper order., • Monitor and restock copier/printer paper and other supplies., • Assist in managing sample inventory, logging customer sign-outs and returns., • Attend showroom meetings and training sessions., • Administrative Support, • Manage the Customer Tracking Sheet (daily visitor log) in Excel., • Review and update Sales Designers' Outlook calendars; ensure appointments are entered and accurate., • Update digital "Splash Appointments" slides and related presentation materials., • File weekly credit card reports (Saturdays)., • Prepare and organize specification books, literature packets, and other client materials., • Operate and maintain office equipment; arrange repairs as needed., • Create and manage digital and paper filing systems for administrative documents., • Process incoming and outgoing mail and shipments., • Assist with order acknowledgements, documentation, and payment collection as needed., • Serve as liaison between clients, Sales Designers, and manufacturers for order status updates., • Cleaning and Facility Maintenance, • Perform light daily cleaning to maintain showroom standards and prepare for the next business day, • Front Entry & Reception Area: Remove debris, sweep as needed, and wipe door handles., • Showroom: Return samples, brochures, and literature to proper places., • Coffee Bar & Kitchen: Wipe counters, refill coffee/water machines, restock cups and condiments, and run dishwasher as needed., • Bathrooms: Wipe surfaces, clean mirrors, and restock supplies., • High school diploma or equivalent required., • Prior experience in reception, hospitality, or administrative support preferred., • Excellent communication and interpersonal skills., • Strong organizational and multitasking abilities., • Dependable, professional, and detail oriented., • Proficient in Microsoft Office (Excel, Outlook, PowerPoint) and comfortable learning web-based tools., • Self-motivated with a strong sense of customer service and teamwork., • Customer-focused and friendly demeanor, • Dependability and cooperation, • Professionalism and integrity, • High attention to detail and accuracy, • Strong verbal and written communication, • Enthusiasm and initiative, • Requires Saturday morning availability, • Work performed while standing, sitting, and walking., • Must be able to occasionally lift 50 lbs. or less, • Requires bending, squatting, reaching, and light cleaning duties., • Ability to communicate clearly using speech, vision, and hearing.
