JOB SUMMARY The Recovery Services Coordinator is responsible for supporting the daily operations of the Recovery Services team, which includes outpatient substance use disorder treatment and intensive outpatient programming (IOP). This role is central to ensuring clients have seamless access to care by overseeing intake processes, coordinating ongoing services, maintaining accurate and up-to-date documentation, and supporting compliance with state and federal regulations. The Coordinator helps clients navigate their entry into services, promotes continuity of care, manages insurance verifications, and authorizations, and connects clients to community resources. In addition, this position provides essential administrative, clerical, and operational support to program staff and leadership, ensuring that all services are delivered in alignment with organizational policies, licensing requirements, and accreditation standards. ESSENTIAL FUNCTIONS • Facilitate client access to recovery and behavioral health services through intake, scheduling, and coordination of care., • Support program operations, including outpatient substance use disorder services and intensive outpatient programming (IOP)., • Maintain accurate documentation and reporting in compliance with state, federal, and accreditation standards., • Provide administrative and operational support to program staff and leadership., • Serve as a liaison between clients, providers, referral sources, and community partners to ensure continuity of care., • Promote culturally responsive, client-centered services aligned with the mission and values of the Indian Health Board., • Client Intake & Access, • Serve as the first point of contact for prospective clients and community members., • Collect DAANES data, demographic, medical, psychosocial, consent, and insurance information., • Verify benefits, obtain prior authorizations, and process financial paperwork., • Ensure intake and registration are complete prior to assessment or admission., • Provide program information clearly to clients and community members., • Scheduling & Program Support, • Schedule comprehensive assessments, individual sessions, and follow-up visits., • Track and manage program capacity for adult and adolescent IOP., • Coordinate room usage, set up for meetings/groups, and assist with events., • Support community outreach and wellness events., • Administrative & Documentation, • Maintain accurate records in DAANES, EPIC OCHIN, and other EHR/EMR systems., • Support reporting requirements, including DAANES, grant data, and state/federal compliance., • Prepare and maintain logs, reports, and usage audits., • Assist management staff with clerical and operational needs., • Coordinate vendors, supply ordering, mail handling, and deliveries., • Communication & Client Support, • Serve as liaison between clients, referral sources, and providers., • Provide reassurance and guidance to clients during intake and treatment transitions., • Maintain timely communication with providers regarding client needs., • Ensure culturally responsive and professional interactions with clients., • Compliance & Quality Assurance, • Maintain compliance with HIPAA, accreditation standards (e.g., Joint Commission, CARF), and regulatory policies., • Ensure proper handling of protected health information (PHI)., • Participate in continuous quality improvement initiatives., • Adhere to Indian Health Board policies, including Attendance and Confidentiality., • Other duties as assigned KNOWLEDGE, SKILLS, AND ABILITIES • Customer Service Orientation: Demonstrates commitment to client satisfaction in every interaction., • Teamwork: Works collaboratively with a multidisciplinary team, supporting unity and respect., • Problem Solving: Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines., • Communication: Excellent verbal, written, and interpersonal skills., • Data Management: Strong reporting, documentation, and EHR proficiency., • Cultural Competence: Knowledge of and respect for American Indian communities and other cultures served., • Adaptability: Ability to work effectively in a fast-paced, high-demand environment., • Professionalism: Maintains confidentiality, integrity, and a professional demeanor at all times. EDUCATION AND EXPERIENCE • Bachelor's degree in Public Health, Social Work, Psychology, Community Health, Addiction Studies, or a related field required., • 2+ years' experience in behavioral health, substance use treatment, or healthcare setting., • Experience with electronic health record systems (EPIC OCHIN preferred) and Microsoft Office Suite., • Knowledge of insurance verification and authorization processes., • Experience with DAANES reporting or other state regulatory compliance preferred., • Strong interpersonal and organizational skills., • Familiarity with the Minneapolis Urban American Indian community strongly preferred. PHYSICAL DEMANDS The work is sedentary. Typically, the employee may sit comfortably to do the work. There may be some walking, standing, bending, carrying light items, and driving an automobile. No special physical demands are required to perform the work. Ability to work in a busy clinical setting with periods of sustained concentration. HIPAA IHB makes reasonable efforts to limit access to and use of protected health information (PHI) by employees to the minimum necessary performance of assigned duties as outlines in job descriptions. This position is access restricted to PHI needed to carry out health care operations.
