Expected Duration: 2 Months (Possibility of Extension) Job Type: [FULL TIME (>=40 HRS WEEKLY) Pay Range: $42/hr on w2 About the Role We are seeking Event Support Administrators to assist the Policy, Strategy & Oversight team within the Engineering & Maintenance (E&M) Division. The E&M Division includes more than 1,400 employees responsible for maintaining the clients critical infrastructure, including Track, Signals, Communications, Power, Stations, and Facilities. This event-based role will provide vital administrative and operational support for a semi-annual, two-week training and employee engagement program (E&M Safety Series – ESS) for all E&M employees. The position also supports broader employee safety initiatives and administrative functions as assigned. Key Responsibilities E&M Safety Series (ESS) Program Support • Support execution of a two-week, full-shift training event for 1,400+ employees, • Produce and prepare event materials including:, • Training schedules, • Nametags, • Feedback surveys, • Set up and break down AV equipment (screens, projectors, microphones/speakers), • Restock classroom and event materials, • Create and manage Excel files to track data from sign-in sheets and feedback forms, • Manage classroom reservations and instructor availability, • Coordinate with supervisors to ensure attendance at mandatory trainings, • Send Outlook calendar invitations to employees and supervisors, • Track participation and attendance, • Schedule make-up sessions for missed classes, • Assist with additional administrative tasks, • Support continuous improvement initiatives, • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint), • Experience using AV equipment (screens, projectors, microphones, speakers), • Strong organizational and time-management skills, • Ability to clearly and respectfully communicate with diverse groups, • Ability to take initiative and follow through on assigned tasks, • Ability to lift up to 35 lbs, • Experience in event management or large-scale training coordination, • Experience with Microsoft Publisher, • Experience with Mail Merge, • Familiarity with Learning Management Systems (LMS) Logistics & Schedule Primary Reporting Location: Boston, MA 02129 Event Location (May 4 – May 22): Medford, MA Standard Schedule • Generally 8:00 AM – 4:00 PM, • May 4–8: 7:00 AM – 3:00 PM, • May 11: 5:00 AM – 3:00 PM, • May 12: 5:00 AM – 6:30 PM, • May 13 (9:30 PM) – May 14 (7:00 AM), • May 14 (10:00 PM) – May 15 (7:00 AM), • May 18 (10:00 PM) – May 19 (2:00 PM), • May 20: 11:00 AM – 11:00 PM, • May 21: 5:00 AM – 5:00 PM, • May 22: 7:00 AM – 3:00 PM This role requires flexibility to support early morning, extended, and overnight shifts during the event period.
