The Receptionist will manage front desk operations, provide administrative support, assist with facilities requests, and ensure a welcoming, professional environment at all times. Key Responsibilities Front Desk & Client Services * Greet and welcome all visitors, clients, and colleagues in a professional and friendly manner. * Answer and direct phone calls, maintaining best-in-class telephone etiquette. * Provide guidance and assistance to walk-in clients, contacting service representatives or managers as needed. * Register guests, issue visitor access badges, and notify appropriate staff of arrivals. * Provide temporary access badges for employees/contractors as required in the Genetec Enterprise Security System. * Build rapport with guests while multitasking in a fast-paced environment. * Maintain reception area cleanliness, ensuring a professional appearance at all times. Administrative Support * Perform general administrative duties as assigned. * Proficiently utilize Microsoft Office tools for daily tasks and record keeping. * Maintain accurate daily badge logs and visitor registration records. Facilities & General Services * Assist with catering coordination, including delivery, setup, and cleanup. * Report and track facility maintenance needs (lighting, carpets, walls, furniture, etc.). * Submit building-related work orders (restrooms, elevators, etc.) to landlord via Aware system. * Monitor CCTV and report unusual activity or access control issues immediately. * Check entry doors regularly to ensure proper operation. * Support evacuation drills and assist with data recording. Deliveries * Provide access for mailroom, USPS, UPS, and FedEx deliveries. Qualifications * Proficiency in Microsoft Office (Word, Excel, Outlook). * Strong organizational skills with the ability to multitask effectively. * Excellent customer service and hospitality skills with a professional demeanor. * Ability to maintain corporate dress code and grooming standards. * Detail-oriented with strong communication and interpersonal skills. * Ability to handle confidential information with discretion. Preferred Qualifications * CPR and First Aid certification. * Experience in a corporate or hospitality-focused receptionist/administrative role.
