We have an excellent opportunity within our Procurement department in Norfolk, VA. Position Overview The Procurement Contract Administrator plays a key role in supporting the end‑to‑end lifecycle of commercial agreements that govern the purchase of materials, equipment, and services. This role ensures that all procurement contracts are compliant, accurately documented, properly reviewed per Levels of Authority (LOA), and stored in the enterprise contract repository. The position is highly detail‑oriented and requires strong coordination with Procurement, Legal, Finance, Operations, Engineering, Risk Management and external suppliers. Scope includes materials, equipment, and services agreements—ranging from routine purchase terms to higher-complexity project and service contracts—supporting both standard and negotiated commercial arrangements. The ideal candidate brings excellent organizational skills, strong understanding of procurement workflows and contractual risk concepts, and the ability to manage multiple priorities in a fast-paced, compliance‑driven environment. This role does not provide legal advice but serves as a first‑line administrative and compliance checkpoint to support efficient contract execution. Key Responsibilities Contract Lifecycle Administration • Manage contract intake, drafting support, version control, and routing through review and approval workflows (including LOA compliance)., • Conduct initial contract quality checks for completeness, accuracy, and compliance with procurement policies, including required attachments, exhibits, and insurance certificates., • Maintain and update the centralized contract repository, ensuring accurate metadata, expiration dates, renewal triggers and executed‑version control., • Coordinate with Legal for redline review and incorporation of approved language changes., • Track contract status from initiation through full execution and filing., • Support contract close‑out activities, including confirmation of final deliverables, documentation completeness, and archival requirements. Compliance & Policy Governance • Ensure all agreements adhere to Procurement policies, Supplier Code of Conduct, and corporate standards including SOX, ESG, sustainability, and supplier safety requirements., • Validate that contract terms align with approved sourcing strategies and corporate templates., • Support audit requests and maintain documentation required for compliance reviews., • Monitor adherence to LOA and escalate deviations or exceptions for appropriate approval., • Assist in maintaining and updating standard procurement contract templates, clauses, and playbooks in coordination with Legal and Procurement leadership. Data Management & Reporting • Track renewal dates, performance obligations, insurance expirations, and risk‑related contractual commitments., • Prepare status reports, and KPI summaries related to contract cycle times, compliance, supplier responsiveness and contractual risk assessments., • Support data accuracy and governance within procurement and contract management systems (e.g., SAP, contract lifecycle management (CLM) tools, SharePoint). Cross‑Functional Coordination • Work closely with Procurement Managers, Project Managers, Engineering, Operations, Legal, Risk Management and Finance to gather inputs, clarify scope, and ensure contract alignment with technical and commercial requirements., • Support Procurement teams during tendering by preparing draft contractual documents, confidentiality agreements, and award packages., • Conduct initial reviews of vendor contract terms or redlines to identify deviations from standard terms and route items for Procurement or Legal review., • Escalate when non-standard indemnity or limitation of liability terms, insurance exceptions, or LOA deviations are requested., • Facilitate communications between internal stakeholders and suppliers regarding contract execution, deliverables, and administrative requirements., • Participate in internal kickoff meetings for complex or high‑risk contracts to align on roles, responsibilities, and contract administration requirements. Supplier Interface & Documentation Support • Follow up with suppliers on contract execution, required signatures, and compliance documents., • Ensure suppliers understand their contractual obligations and performance expectations., • Support collection and validation of supplier onboarding documentation, including insurance certificates, compliance attestations, and required disclosures. Qualifications & Experience • Degree in Business, Legal Studies, or related field; or equivalent experience., • Experience using SAP (including SAP MM) or similar ERP systems to support procurement and contract workflows is strongly preferred., • Experience utilizing AI tools for contract review efficiencies a plus., • Experience in manufacturing, construction materials, or other industrial environments preferred., • At least 3–5 years contract administration experience in procurement, supply chain, or similar function (manufacturing or construction environment preferred)., • Familiarity with contract language, commercial terms, risk mitigation approaches, insurance requirements, and change management., • Strong proficiency with MS Office, SharePoint, Adobe, and digital workflow tools., • Excellent organization skills, attention to detail, and ability to manage multiple priorities in a deadline‑driven environment., • Strong communication skills (written and verbal) and ability to collaborate across functions professionally., • Experience working with CLM systems or document management platforms preferred.
