Office Coordinator \n\n 5 days per week on site \n\n Friendly, small, professional investment company \n\n £25 to £29K plus company benefits \n\n \n\n Key Responsibilities \n\n Facilities & Office Operations \n\n Maintain the overall presentation, organisation, and functionality of the office, ensuring all communal, front-of-house, and back-of-house areas remain clean, tidy, and professional throughout the day. \n\n\n\t • Manage meeting room readiness, including set-up, daily checks, and post-meeting reset.\n\t, • Perform daily checks of meeting room I.T and equipment to ensure full operational readiness.\n\t, • Manage relationships with office suppliers and service providers, including contract oversight and performance monitoring.\n\t, • Oversee service and maintenance schedules for office equipment and infrastructure.\n\t, • Track and manage company-issued assets (IT hardware, mobile phones, keys, alarm fobs), including asset tagging and record maintenance.\n\t, • Maintain organised digital and physical filing systems, ensuring accuracy and compliance.\n\n\n Operational & Administrative Support \n\n\n\t • Provide general administrative and operational support to the wider team as required.\n\t, • Coordinate diaries, meetings, travel arrangements and logistics.\n\t, • Support document control and information management processes.\n\t, • Assist with invoice approvals and overhead cost administration.\n\t, • Ensure timely follow-through on operational tasks and requests.\n\n\n Hospitality & Office Supplies \n\n\n\t • Coordinate catering and refreshments for meetings, maintaining professional presentation standards.\n\t, • Manage stock control and ordering of office, kitchen, and facility supplies.\n\t, • Maintain and service the office coffee machine, including routine cleaning and upkeep.\n\t, • Order and manage consumables including beverages, bottled water, and fruit.\n\t, • Run errands for meeting-related requirements as needed. \n\n\n Cleaning & Maintenance \n\n\n\t • Oversee services provided by external cleaning contractors, ensuring standards are consistently met.\n\t, • Perform light upkeep duties on non-cleaning days, including kitchen maintenance, waste disposal, and communal area checks.\n\t, • Oversee waste management processes and general external area upkeep.\n\n\n Reception & Office Support \n\n\n\t • Greet visitors and manage front-of-house responsibilities.\n\t, • Manage incoming deliveries and mail distribution.\n\t, • Handle outgoing post and any courier arrangements.\n\t, • Issue parking permits and manage stationery supplies.\n\t, • Act as the first point of contact for staff regarding office-related queries and troubleshooting.\n\t, • Support internal office communications.\n\n\n Compliance & Safety \n\n\n\t • Support health and safety compliance, contributing to the maintenance of a safe, secure and well-functioning working environment.\n\t, • Maintain office security procedures, including key allocation and access management.\n\t, • Manage routine server backup tape changes.\n\n\n Skills & Experience Required \n\n\n\t • Proven experience in office coordination, workplace, or facilities management.\n\t, • Strong organisational skills with the ability to manage multiple priorities.\n\t, • Proactive, solutions-focused approach with a high level of ownership and accountability.\n\t, • Confident communicator with strong interpersonal skills.\n\t, • Experience liaising with suppliers, contractors, and service providers.\n\t, • Comfortable troubleshooting basic office and IT equipment issues.\n\t, • Ability to work independently and maintain a highly professional office environment.\n
