As we continue to grow, we are seeking an exceptional Executive Assistant to work directly alongside our Chief Executive Officer. The Opportunity This is not a traditional Executive Assistant role. We are looking for someone who can become the CEO's trusted partner and help drive execution across the business. The primary objective of the role is simple: create capacity for the CEO. Success will be measured by your ability to free up 10-15 hours of the CEO's time each week, allowing greater focus on business development, client relationships, revenue generation and strategic growth. You will sit at the centre of the business, ensuring actions are captured, projects move forward, stakeholders remain aligned and opportunities do not fall through the cracks. This role combines executive support, project coordination, CRM management, governance and research support. It offers a unique opportunity to gain exposure to executive search, human capital consulting, business operations and leadership decision-making whilst working directly alongside the CEO. Key Responsibilities Executive Support • Act as a trusted partner to the CEO., • Manage priorities, meetings and follow-up activities., • Attend internal and external meetings where required., • Take detailed meeting notes and produce concise action summaries., • Ensure actions are assigned, tracked and completed., • Prepare agendas, briefing notes and supporting documentation., • Help ensure the CEO remains focused on client engagement, business development and strategic priorities., • Act as a gatekeeper where appropriate, ensuring the CEO's time is used effectively. CRM & Business Administration • Maintain accurate and up-to-date records across the firm's CRM systems., • Update meeting notes, client interactions, candidate records and project activity., • Ensure all relevant information is captured and recorded consistently., • Produce reports and updates as required., • Support the efficient administration of client and candidate relationships., • Monitor follow-up activity and ensure commitments are delivered. Project Coordination • Coordinate activity across multiple executive search and advisory assignments., • Track project milestones, deadlines and deliverables., • Ensure all stakeholders understand their responsibilities and timelines., • Follow up proactively on outstanding actions., • Identify risks, delays or bottlenecks and escalate where appropriate., • Maintain oversight across multiple projects simultaneously. Team & Stakeholder Coordination • Coordinate activity across researchers, consultants and delivery teams., • Ensure effective communication between team members working across different locations and assignments., • Support collaboration across projects involving multiple internal and external stakeholders., • Maintain visibility of progress and ensure momentum is sustained. Examples may include: • Coordinating research activity with the internal research team., • Supporting consultants delivering compensation and advisory projects., • Ensuring project actions are completed following client meetings., • Tracking deliverables across multiple client engagements., • Keeping all stakeholders informed of progress and deadlines. Candidate Research & Market Intelligence • Support candidate identification and market mapping exercises., • Conduct desk-based research into target companies, sectors and individuals., • Assist with the preparation of candidate longlists and market intelligence reports., • Gather information to support client assignments and business development activities., • Maintain accurate research records within internal systems. Board & Governance Support • Coordinate quarterly Board meetings., • Manage scheduling, agendas and meeting logistics., • Prepare Board packs and supporting documentation., • Record minutes and maintain action logs., • Track actions arising from Board meetings and ensure completion., • Support governance and planning activities across the business. Candidate Profile The successful candidate is likely to possess: • Previous experience as an Executive Assistant, Executive Coordinator, Project Coordinator, Executive Office Coordinator or similar role., • Exceptional organisational and project management skills., • Strong written communication and note-taking abilities., • Excellent attention to detail., • The ability to manage multiple priorities simultaneously., • Confidence engaging with senior stakeholders., • Strong technology skills, including CRM systems and Microsoft Office., • A proactive, solutions-focused mindset., • The ability to work independently and take ownership., • Experience within executive search, recruitment, consulting, professional services or financial services would be advantageous but is not essential. What Success Looks Like Within the first 12 months, you will have: • Created 10-15 hours of additional CEO capacity each week through effective coordination, administration and project management., • Improved project execution and follow-through across the business., • Established robust processes for tracking actions and accountability., • Maintained high-quality CRM data and reporting., • Supported the successful delivery of executive search and advisory assignments., • Ensured Board meetings and governance activities run smoothly., • Become a trusted and indispensable partner to the CEO and wider team. Working Pattern This is primarily an office-based role, working closely alongside the CEO and wider team from our Ashton-under-Lyne office. Whilst we anticipate this role being full-time, we are open to considering exceptional candidates seeking a reduced-hours arrangement. Our priority is finding the right person rather than prescribing a fixed working pattern. The successful candidate will be an integral part of the business and should expect to spend the majority of their time working from the office, collaborating closely with colleagues and supporting day-to-day operations. You will work directly alongside the CEO and gain exposure to executive search, consulting, business operations, client delivery and strategic decision-making. You will become a central figure within the business, helping to coordinate people, projects and priorities across multiple workstreams.
