Job Title: Temporary Office Manager \n\nIndustry: International Trade & Development\n\nSalary: £14.50 per hour!\n\nLocation: Walking distance from Bank Station!\n\nStart Date: ASAP!\n\nEnd Date: Ongoing\n\nRole: Temporary\n\nHours: 9am-6pm - Fully Office based\n\nOverview\n\nThis role is responsible for ensuring the smooth day-to-day running of the London office, covering office operations, facilities management, and light Personal Assistant (PA) support when the Director is in the London office. The position combines operational oversight with hands-on administration and requires a highly organised, discreet, and proactive individual.\n\nKey Responsibilities\n\nOffice & Facilities Management\n\nOversee the day-to-day operation of the London office, ensuring a safe, efficient, and well-organised working environment.\nManage facilities services including maintenance, cleaning, security, IT support coordination, and office supplies.\nAct as the main point of contact for landlords, building management, contractors, and service providers.\nCoordinate office moves, refurbishments, and space planning as required.\nEnsure compliance with health & safety, fire safety, insurance, GDPR, and other regulatory obligations.\nMaintain policies, procedures, and compliance records related to office and facilities management.Supplier & Contract Management\n\nManage relationships with external suppliers and service providers.\nNegotiate, manage, and monitor contracts for office services and facilities.\nTrack renewals and ensure value for money while maintaining service standards.Administrative & Operational Support\n\nSupport general office administration including document management, filing systems, and records maintenance.\nCoordinate internal meetings and ensure meeting rooms are prepared and equipped.\nLiaise with IT providers and support colleagues with basic systems or access issues.PA Support (When Director is in the London Office)\n\nProvide diary management, scheduling meetings, and coordinating appointments.\nArrange internal and external meetings, including preparation of agendas and logistics.\nCoordinate travel arrangements, including flights, hotels, and ground transport when necessary.\nAct as a reliable point of contact, handling queries with discretion and professionalism.Core Skills & Competencies\n\nStrong office and facilities management and PA experience.\nExcellent organisational and time-management skills, with the ability to manage multiple priorities.\nHigh level of discretion and confidentiality when handling sensitive matters.\nConfident communication skills with internal stakeholders, suppliers, and external partners.\nPractical, solutions-focused approach to problem-solving.\nProficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfortable using shared systems such as SharePoint or Teams.Personal Qualities\n\nProfessional, calm, and approachable manner.\nHighly organised and detail oriented.\nAdaptable and flexible, able to switch between operational tasks and PA-style support as needed.\nAble to work independently with minimal supervision.Desirable Experience\n\nPrevious experience in office management, facilities management, or estates/property administration.\nExposure to PA, administrative, or reception-style responsibilities.\nExperience working in a small office, senior stakeholder, or family office environment where trust and discretion are key.\nWorking knowledge of UK office compliance and health & safety requirements.This role would suit someone who enjoys being the central point of coordination for an office and can confidently combine operational responsibility with light PA support when required.\n\nHow to Apply:\n We want to hear from you!
