Responsibilities • Provide administrative support for attorneys, paralegals, legal assistants, and office manager in a busy and successful law practice, • Trial preparation assistance as needed, • Answer, screen, prioritize and place telephone calls appropriately and adept at using all features of the phone system and voicemail, • Communicate effectively and professionally with court personnel, clients, vendors, attorneys, paralegals, • Promptly and accurately calendar depositions in conference rooms as requested, • Make meeting arrangements and preparations, • Keeps Office Manager well-informed of activities, results of efforts and problems identified, • Respects confidentiality in discussing participant/consumer, staff, volunteers and organizational matters, • Maintains cleanliness, organization, and proper stock of offices, conference rooms, kitchens, and supply room, • As backup to other office staff, available to send, receive, sort, and route all mail and deliveries, • As backup to other office staff, prepare or process outgoing mail to include: accurate weighing, coding, sorting, affixing postage, properly addressing, and preparing certified/rush/overnight/ return receipt mail, • Submit any maintenance requests or contact building management for any necessary inquiriesExperience, • Minimum 3 years experience in a law firm environment preferred, • Professionalism at all times; positive and friendly attitude; willing to help as needed, • Able to exercise high levels of discretion, confidentiality, sensitivity, and integrity, • Knowledge of basic legal terminology, processes, documents, and case flow preferred, • Attention to detail; Robust writing, grammar, and proofing skills, • Highly organized and ability to multi-task proficiently, • Strong interpersonal skills in working with clients, attorneys, court personnel, vendors, etc., • Must be able to work under the direction of the Office Manager and be willing to contribute by performing tasks as needed, • Ability to follow directions, firm policies, and procedures, • Comfortable with sedentary desk work as well as duties requiring standing/bending/stooping; ability to lift 20-25 lbs, • Proficient in Word, Excel, Power Point, Outlook, Adobe Acrobat; ability to type 65 wpm accurately preferred, • High-school diploma required, college degree a plus, • Bilingual English/Spanish is highly preferred, but not required Benefits, • Full suite of health/dental/vision benefits that go into effect the 1st of the month after an employee starts with the firm, • 10 company holidays + 4 early release days, • 16 PTO days, • Hybrid schedule (3 days/week in office, 2 days/week at home), • 401k + firm match based on previous year revenue.
