Job Description Local Appleton Manufactuer looking for a detail-driven Accounts Payable Specialist who keeps things accurate, organized, and running smoothly. Responsibilities include: Accounts Payable 1.Match all PO’s, BOL’s, and invoices and verify pricing and terms, enter invoices into system and make additions or subtractions to inventory report. 2.Generate all Accounts Payable checks for the week and get them signed by the appropriate person.Then distribute these checks per the terms listed on the invoices.Check stubs will be stapled to the appropriate invoice and filed in the appropriate location. 3.Prepare all relevant materials required for annual financial audit and tax return. 4.Define and manage procedures for retention, retrieval, and disposal of company records relevant to your function. 5.Monitor order/delivery dates of POs and reach out to appropriate individuals for updates or request missing paperwork as necessary. Customer Service- Backup 1.Perform opening/closing office duties as necessary. 2.Answer incoming calls, determine the nature of the call, and handle appropriately depending on request. 3.Receive incoming complaints, add notes into summary report, and notify appropriate personnel. 4.Conduct Quaker Bakery customer outbound calls on a daily basis. 5.Enter all orders received via phone or email using the Sage BusinessWorks program. Maintain standing orders binder. 6.Handle all duties related to the Quaker Bakery Buyer’s Club. 7.Print and verify accuracy of customer orders throughout the day. 8.Run all daily route and production reports for packaging personnel. 9.Manages Sales Team email, supervise all sample fulfillments, inspect samples for accuracy and quality and coordinate shipments using UPS. Bookkeeping 1.Administer month end closing process, including journal entries, accruals, bank reconciliation and other reconciliation/general ledger review as needed. 2.Create and route monthly sales reports. 3.Aggregate and compile Trade Promotions spreadsheet 4.Manage and review the monthly Trade Analysis process, including reconciliation of trade spend, verification of deductions, tracking promotional performance, and reporting findings to leadership. 5.Identify discrepancies, trends, or unusual variances in trade activity and proactively communicate insights and recommendations to the Office Manager, Controller, and Sales Team. 6.Assist in improving process related to trade reporting, documentation, and internal controls to ensure accuracy and financial visibility. Clerical 1.Send detailed Repairs & Maintenance report to Maintenance Manager bi-monthly. 2.Total all checks, cash and ACHs for daily deposit as a verification for AR. Other Duties and Responsibilities 1.Fill in as backup payroll when required. 2.Fill in for the Office Manager as necessary. 3.Assist Office Manager, Board Observer/Controller, President, Director of Technical Services, and National Sales Director with any other tasks as necessary. 4.Perform all other tasks as needed or assigned. Required Skills 1.High degree of proficiency in Excel, Word, Power Point, and Email. 2.Excellent communication abilities, including speaking, writing, and active listening. 3.Effective time management skills, such as prioritization, multi-tasking, and planning. 4.High degree of accuracy and precision in assigned functions and task management. 5.Strong organization skills, including data entry, filing, photocopying/scanning, message taking, and general administrative support. 6.Pleasant and courteous personality, including a positive attitude with superiors, colleagues and customers. 7.Comfortable working in a fast-paced office environment, where priorities frequently change quickly. 8.Willing to work in unique culture posed by small office environment. 9.Strong work ethic and able to self-supervise.
