The Archdiocese of Denver is seeking a highly organized, proactive, and mission-driven Executive Assistant to provide high-level support to the Superintendent and the Office of Catholic Schools (OCS). This role serves as a trusted partner to leadership, ensuring seamless operations, effective communication, and strategic administrative support across the office. Key Job Responsibilities • Financial Support: Provide comprehensive financial support by partnering on budget preparation, reconciling financial reports, managing purchases, processing invoices and expenses, and coordinating stipend requests., • Calendar Management: Manage and optimize the Superintendent’s calendar by scheduling and prioritizing meetings, coordinating logistics, resolving conflicts, and ensuring timely preparation with agendas and materials aligned to organizational priorities., • Meeting Coordination: Coordinate and execute meetings by developing agendas, preparing materials and presentations, managing logistics and participation tracking, and compiling and sharing evaluation results., • Records Retention and File Management: Oversee records retention and file management by maintaining physical and digital records, managing SharePoint and Teams, ensuring compliance with retention guidelines, supporting HR needs, and coordinating transcript and reporting processes., • Executive & Administrative Support: Provide high-level executive and administrative support through strategic planning, professional communication, and preparation of memos, reports, and leadership materials aligned with organizational priorities., • Communications and Coordination: Lead communications and coordination by supporting the Board of Members, managing meeting materials and records, serving as a primary point of contact for inquiries, and facilitating clear, timely communication across stakeholders and internal teams.Requirements: What We’re Looking For • Be a fully initiated Catholic in communion of the Catholic Church and intentionally loving out the five precepts of the Church (CCC 2041 – 2043)., • Understand and align with the values and mission of the Catholic Church in an apostolic age, • Strong commitment to Catholicism and the New Evangelization; able to coordinate and lead team efforts., • High school diploma or equivalent required; associate’s degree or higher preferred., • 5 years of administrative support experience, ideally in an office, school, nonprofit, or similar professional environment., • Experience with financial processing (invoices, expense reports, budget support) preferred., • Proficiency in Microsoft Office, SharePoint, and Teams required; familiarity with accounting/ERP systems (e.g., Intacct) a plus., • Strong written and verbal communication skills, with ability to prepare documents and meeting materials., • Ability to maintain confidentiality and handle sensitive information with discretion., • Strong organizational and time management skills., • Ability to manage multiple tasks and deadlines., • Experience supporting multiple leaders or departments simultaneously is helpful., • Proficiency with Microsoft Office, SharePoint, Teams, and digital file systems., • Comprehensive health, dental and vision coverage options, • Virtual care with MyCatholicDoctor.com, • Alternative Care coverage options for Chiropractic/Acupuncture/Spiritual Care/Massage Therapy/Naturopathy., • Natural Family Planning up to $500 per year for education, supplies, and materials., • Maternity Management Program Guidance and educational materials, • Parental Leave, • Generous Paid Time Off: 22 days starting (accrued) + 18 paid holidays (including the full week between Christmas and New Year’s., • Retirement Plan: Annual Employer Contribution of 6% of salary to retirement plan plus employee deferrals., • Employer-Paid Life Insurance, and Short & Long-term disability
