Job Description Assistant Bookkeeper In Our Own Voices, Inc. (IOOV) Albany, NY | Full-Time | On-Site Reports To: Fiscal Director Position Summary The Assistant Bookkeeper plays a critical role in supporting the Finance Department by maintaining accurate financial records, processing financial transactions in a timely and compliant manner, and supporting strong internal controls. This position helps ensure compliance with internal policies and federal, state, and local regulations while supporting the day-to-day financial operations of In Our Own Voices, Inc. (IOOV). IOOV is a rapidly growing, nonprofit organization serving LGBTQ+ Black, Indigenous, and People of Color communities. The Assistant Bookkeeper contributes directly to the organization’s financial stability, accountability, and ability to deliver high-impact programs and services. Key Responsibilities Accounts Payable & Accounts Receivable • Assist with accounts payable and accounts receivable functions, including accurate data entry, invoice processing, payment posting, and vendor management, • Perform regular reconciliations of bank accounts, credit cards, and other financial accounts; identify discrepancies and flag issues for follow-up, • Support payroll processing, including timesheet review, payroll documentation, and payroll allocations, • Assist in preparing monthly, quarterly, and annual financial reports for internal review, • Communicate professionally with vendors and internal staff regarding invoices, payments, and financial inquiries, • Provide documentation and administrative support during audits, budget development, financial monitoring, and year-end close, • Perform general clerical duties including scanning, copying, filing, and uploading financial documents, • Complete additional duties as assigned by the Fiscal Director to support financial efficiency and compliance Qualifications Required • Associate’s degree in Accounting, Finance, Business Administration, or a related field, • 1–2 years of bookkeeping, accounting, or financial administrative experience, • Proficiency in accounting software (QuickBooks or similar) and Microsoft Office applications, • Strong attention to detail, organizational skills, and ability to meet deadlines, • High level of integrity and ability to maintain confidentiality, • Experience working in a nonprofit, human services, or mission-driven organization, • Familiarity with basic fund accounting or nonprofit financial practices Physical Demands • Ability to occasionally lift up to 25 pounds independently, • Frequent sitting, typing, and computer work with flexibility to move throughout the day Working Conditions • Office-based role with consistent use of online accounting and financial systems, • Regular interaction via phone, email, and in person with staff and vendors Equal Opportunity Employment In Our Own Voices, Inc. is an equal opportunity employer committed to equity and inclusion.
