POSITION TITLE: Executive Assistant & Operations Consultant ORGANIZATION: Slack Global Consulting LOCATION: Los Angeles, CA - Leimert Park area (near 90008) ROLE TYPE: Part-Time, Hybrid RATE: $1800/month for up to 40 hours a month of support Summary The Best Admin is seeking a highly skilled, proactive Executive Assistant & Operations Consultant to provide dedicated support to our client, Slack Global Consulting (SGC), a Los Angeles-based consulting firm. This role will primarily support SGC’s Founder & Principal while collaborating closely with the Program Manager and broader team. The consultant will provide executive administrative, operational, program coordination, and event and retreat support in a dynamic, relationship-centered consulting environment. This is a hybrid position requiring mostly remote work with some meaningful in-person attendance. Candidates must be based in the Los Angeles area within reasonable commuting distance of Leimert Park (90008) and have reliable transportation. The selected consultant will be expected to attend designated SGC retreats, meetings, and events and provide periodic on-site administrative and organizational support at the office in the Leimert Park area. In-person availability is an essential and non-optional requirement of this role. RESPONSIBILITIES Executive & Administrative Support • Provide proactive calendar management and scheduling support for the Founder & Principal, including coaching clients, team meetings, group meetings, and other appointments., • Manage scheduling workflows from initial request through final confirmation, including follow-up, meeting invitations, virtual meeting links, materials, reminders, and related logistics., • Coordinate client onboarding, including questionnaires, scheduling, rescheduling, and document sharing., • Assist with invoice preparation, billing coordination, payment tracking, and administrative follow-up in collaboration with internal team members., • Draft and format correspondence, agendas, notes, presentations, and supporting documents., • Organize and maintain digital files, shared folders, and administrative systems., • Support recurring team and planning meetings., • Assist with transcription, editing, and organization of voice notes and written materials., • Provide administrative and organizational support related to books, writing projects, speaking engagements, and other initiatives. Program & Operational Support • Own administrative workflows and assigned projects from initiation through completion, proactively identifying and executing next steps without requiring ongoing prompting., • Maintain clear tracking systems for active projects, client work, scheduling requests, deadlines, commitments, and outstanding action items., • Provide regular status updates on work completed, work in progress, upcoming deadlines, outstanding items, and matters requiring input or decisions., • Proactively follow up with the Founder & Principal, Program Manager, team members, clients, and external stakeholders to keep work moving forward., • Anticipate administrative and logistical needs associated with meetings, client engagements, programs, and projects., • Prepare agendas and materials for recurring team meetings and maintain organized check-in documents that provide visibility into priorities and project status., • Coordinate internal planning meetings and related logistics., • Support onboarding and transition-related administrative activities., • Communicate potential delays, capacity concerns, or unresolved issues early enough for the team to adjust priorities or plans. Events, Retreats & In-Person Support • Provide administrative and logistical support for SGC retreats, meetings, and events., • Attend designated SGC retreats and in-person meetings as required., • Provide periodic in-person administrative and organizational support at the office in the Leimert Park area of Los Angeles., • Assist with event preparation, research, ordering, inventory, materials, and organization., • Draft and organize retreat and event materials, agendas, and supporting documents., • Coordinate participant communications, scheduling, and logistics., • Provide Zoom technical support and notetaking during virtual meetings and sessions., • Support retreat preparation, execution, and post-event follow-up. Communications & Content Support • Create and format Canva presentations, decks, reports, documents, and meeting materials., • Provide copyediting and document formatting support., • Organize and maintain shared resources and templates., • Assist with materials related to coaching, consulting, organizational initiatives, writing, speaking engagements, retreats, and presentations., • Assist with transcription, organization, and summarization of interviews, meetings, voice notes, and related materials., • Organize qualitative information, themes, notes, and supporting materials as directed. Requirements • Demonstrated experience providing high-level executive administrative support to a founder, executive, senior leader, or similar principal., • Demonstrated ability to independently manage administrative workflows and projects from beginning to end., • Strong calendar management, scheduling, project-tracking, and follow-up skills, including coordinating multiple stakeholders and competing priorities., • Experience supporting projects, programs, meetings, events, or retreats., • Highly proactive working style with the ability to anticipate next steps and take appropriate action without waiting for direction., • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities and evolving workflows., • Strong written and verbal communication skills, including providing regular status updates and proactively flagging outstanding items, decisions, deadlines, or potential obstacles., • Sound judgment, discretion, accountability, and consistent follow-through., • Ability to distinguish between matters that can be handled independently and those requiring leadership input or approval., • Comfortable working both independently and collaboratively with leadership and team members., • High level of professionalism, cultural awareness, emotional intelligence, and respect when working with diverse individuals and communities., • Proficiency with Microsoft Office and Outlook and experience with OneDrive, Google Drive, Zoom, Canva, and similar collaborative platforms., • Ability to handle confidential and sensitive information with discretion., • Must be based in the Los Angeles area within reasonable commuting distance of Leimert Park (90008)., • Must have reliable transportation and the ability to attend required in-person meetings, retreats, events, and office work sessions in the Los Angeles area., • Must have a reliable home office set-up and provide their own computer, high-speed internet connection, and other equipment necessary to effectively perform the remote responsibilities of the role., • Flexibility to accommodate occasional full-day retreat or planning sessions. Working Conditions & Schedule This is a part-time hybrid consulting position combining remote administrative support with required in-person responsibilities in the Los Angeles area. The consultant will participate in recurring, mostly remote, meetings that may include: • Weekly meetings with the Founder & Principal., • Bi-weekly meetings with the Program Manager., • Monthly team meetings., • Additional virtual or in-person planning sessions, meetings, and retreats as needed. Hours may vary throughout the month based on organizational priorities, active projects, retreat schedules, events, and workflow demands. Some meetings or retreats may require extended or full-day availability. About the Ideal Candidate The ideal candidate is an experienced executive administrative professional who takes genuine ownership of their work. They understand the broader objective behind an assignment, anticipate what needs to happen next, and proactively move work toward completion rather than waiting for individual tasks to be assigned. They are highly organized and comfortable managing multiple bodies of work simultaneously while keeping leadership and team members informed about progress, outstanding items, deadlines, and decisions needed. They are equally comfortable supporting a founder directly, collaborating with a broader team, and moving between executive administration, project coordination, operational support, and in-person responsibilities. Above all, they bring initiative, excellent judgment, discretion, adaptability, accountability, and consistent follow-through. Compensation & Hours Rate: $1800/month for up to 40 hours a month of support SGC retreats, events, or other periods of increased activity may occasionally require support beyond 40 hours in a month. When additional hours are needed and approved in advance by The Best Admin, the consultant will be compensated for all approved additional time worked. Hours may fluctuate throughout the month based on organizational priorities, active projects, retreat schedules, events, and workflow demands. During extended planned client closures, monthly hours and compensation may be adjusted based on anticipated support needs. Any such adjustment will be communicated in advance. Engagement Structure This is a consulting opportunity with The Best Admin (TBA) supporting TBA’s client, Slack Global Consulting (SGC). The selected individual will be engaged by The Best Admin and assigned to provide services to SGC through TBA. This is not an employment position with Slack Global Consulting. The consultant will work directly with SGC’s Founder & Principal, Program Manager, and broader team in carrying out the assignment while maintaining their consulting relationship with The Best Admin. The consultant will be expected to follow TBA’s engagement requirements and work collaboratively with both TBA and SGC throughout the assignment.
